Position Summary
:
Responsible for ensuring accurate and timely billing and invoicing, monitoring customer accounts, handling customer inquiries and resolving billing discrepancies. May also engage in collections activities.
- Set up new customer accounts and maintain up-to-date and accurate customer information for Accounts Receivable/Payable.
- Collect and compile customer billing records such as work orders, sales tickets, charge slips, and technician time sheets; calculate total amounts due and enter the relevant information into the database, ensuring accuracy of billing information, negotiated terms, and compliance with current legislation.
- Prepare and distribute invoices to customers on a timely basis, including accurate details, dates of service, services performed, and/or amounts due.
- Monitor customer accounts: ensure payments are made on time, report on overdue accounts, and maintain an acceptable level of overdue invoices as determined by Accounting policy.
- Assist with collections of past dues by contacting customers via telephone, email, and/or written correspondence.
- Generate credit memorandums to indicate incorrectly billed services. Uphold confidentiality regarding costing and billing when communicating with outside vendors, customers, etc.
- Respond to customer billing questions via telephone and email.
- Scan and file all account records into the system accordingly.
- Perform backup duties and answer rollover calls for dispatch personnel.
- High School diploma or equivalent
- Two (2) years of billing or directly related experience
- Working knowledge of MS Office and Billing/Financial software
- Good organizational skills and attention to detail and accuracy
- Understanding of billing and invoicing processes
- Effective written and verbal communication skills; ability to communicate respectfully with customers
