Overview
Executive Administrative Assistant to the Superintendent – Education Service Center, Region
2. This role serves as the first point of connection for the superintendent’s office, providing essential administrative support to the superintendent and board of trustees and delivering high-quality customer service to district staff, parents, and community members.
Primary responsibilities include maintaining office operations, handling sensitive information with integrity, and guiding clerical staff to foster teamwork and professionalism in representing the superintendent’s office.
Responsibilities- Records, Reports, and Correspondence:
Organize, prepare, and post official board agenda and records for board meetings; record minutes; prepare correspondence, memoranda, and reports; comply with applicable policies and regulations. - Reception and Phones:
Answer calls, greet visitors, respond to routine inquiries, schedule appointments, and maintain the superintendent’s calendar. - Other:
Assign work to office clerical staff; assist with travel arrangements for board members and administrators; compile, maintain, and file reports and documents; maintain confidentiality; follow district safety and emergency procedures. - Supervisory Responsibilities:
Monitor work and issue assignments to clerical staff. - Mental/Physical Demands and Environment:
Standard office equipment; prolonged sitting; frequent keyboarding; occasional lifting; possible irregular hours and district wide travel; manage interruptions and maintain emotional control under stress.
Education/Certification: High school diploma or GED
Special Knowledge/Skills: Knowledge of school district organization, operations, and administrative policies; ability to read and comprehend instructions and memos; ability to plan, organize, and schedule independently; strong public relations, organizational, communication, and interpersonal skills; proficiency with software for spreadsheets, data analysis, and word processing; ability to multi-task complex administrative activities.
Experience: 3 years or more advanced secretarial experience with extensive contact with people
Human Resources And/or PEIMS Experience Preferred
