Accounts Payable Specialist

Tess Gilmore with Robert Half is searching for a dynamic Accounts Payable Specialist to join her client's team here in Rochester, NY. This position is responsible for managing the full accounts payable cycle, ensuring timely and accurate processing of invoices, vendor payments, and expense reporting. The ideal candidate will thrive in a fast-paced environment, possess strong attention to detail, and have experience working with high invoice volumes and ERP systems.

Key Responsibilities

• Process and verify vendor invoices for accuracy, proper approvals, and coding.
• Manage the full accounts payable cycle from invoice receipt through payment processing.
• Prepare and process weekly check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve discrepancies in a timely manner.
• Research and address invoice, purchase order, and payment issues with vendors and internal departments.
• Maintain accurate vendor records, including W-9 documentation and payment information.
• Assist with month-end close activities, including accruals and account reconciliations.
• Monitor AP aging reports and ensure timely payment of obligations.
• Process employee expense reports and company credit card reconciliations.
• Support annual audit requests by providing documentation and account analysis.
• Ensure compliance with company policies, internal controls, and accounting procedures.
• Partner with purchasing, receiving, and operations teams to resolve invoice and receiving discrepancies.
• Assist with process improvement initiatives to increase efficiency and accuracy within the AP function.
