Accounts Receivable Specialist

Tess Gilmore with Robert Half is searching for an Accounts Receivable Specialist to join her client's growing team here in Rochester, NY. This role is responsible for managing customer invoicing, collections, cash application, account reconciliations, and maintaining positive customer relationships. The ideal candidate will possess strong analytical skills, excellent communication abilities, and experience managing the accounts receivable process in a fast-paced environment.

Key Responsibilities

+ Generate and distribute accurate customer invoices in a timely manner.

+ Process daily cash receipts, ACH payments, checks, and wire transfers.

+ Apply customer payments and maintain accurate account records.

+ Monitor accounts receivable aging and proactively follow up on outstanding balances.

+ Conduct collection activities while maintaining strong customer relationships.

+ Investigate and resolve billing discrepancies, short payments, and disputed invoices.

+ Reconcile customer accounts and prepare account statements as needed.

+ Prepare weekly and monthly aging reports for management review.

+ Collaborate with sales, customer service, and operations teams to resolve customer account issues.

+ Assist with month-end and year-end closing activities related to receivables.

+ Maintain customer credit information and support credit review processes.

+ Ensure compliance with company policies, internal controls, and accounting procedures.

+ Support audit requests by providing documentation and account analysis.

Requirements

Qualifications

+ Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.

+ 3+ years of accounts receivable, collections, billing, or general accounting experience.

+ Strong understanding of accounts receivable principles and cash application processes.

+ Experience managing customer accounts and collections activities.

+ Proficiency in Microsoft Excel, including formulas, reporting, and data analysis.

+

Experience with ERP or accounting software systems.

+ Excellent attention to detail and accuracy.

+ Strong problem-solving and organizational skills.

+ Effective verbal and written communication skills.

+ Ability to prioritize multiple deadlines in a fast-paced environment.
