ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Greets the general public, faculty, staff, and students cordially and answers inquiries as appropriate. Makes referrals as needed.
  • Uses electronic filing software to image and link documents to a student’s record. Assigns records to document workflow as needed and maintains the integrity of record quality according to standards within the imaging system. Must adhere to the established Records Retention Guidelines.
  • Reviews and processes transcripts for course transferability and inputs data in the Student Information System and transfer evaluation software systems to create transcript evaluation and course equivalencies. Processes outgoing transcript requests.
  • Manages the registration wait lists
  • Updates student transcripts as assigned: including transfer credit, grade changes, in completes, repeats, credit by exam, CLEP , PTK , etc. Notifies students of all changes in their records.
  • Processes approved requests for exceptions to policies and change requests.
  • Manages incomplete grade processing, which includes communications with appropriate faculty and students at the end of fall and springs semesters.
  • Communicates pertinent information and addresses inquiries and responds to concerns and complaints. Refers individuals to the appropriate Director as necessary.
  • Answers and transfers phone calls as appropriate.
  • Provides back-up coverage to the Student Service Assistants (Mustang Central Front Line) as needed.
  • Instructs students on how to access and use web services. Distributes confidential login information.
  • Helps guide students through the exception process wherein they are able to appeal an action under the auspices of the Registrar. This includes email and possible telephone communication with students, along with apprising the Registrar on each situation.
  • Assists the Registrar in the development of procedure and practices related to the Records and Registration department.
  • Maintains familiarity and become proficient with the Student Information System and necessary coding, tools, and standards needed to fully utilize the system.
  • Remains current with all software systems the department uses. Seeks out process improvements to increase efficiency and data integrity.
  • Assists in planning, coordination, and execution of the commencement cerermony each spring.
  • Process graduation applications, degree evaluations, credential verifications, and confers credentials.
  • Creates Honor Roll lists and mailings.
  • Manages the dual and concurrent registration process. Works with the College’s dual and concurrent software and communicates with high school staff.
  • With approval of the Registrar, serves on appropriate committees throughout the institution.
