SUMMARY OF POSITION

Performs a variety of administrative and clerical support functions for the County Attorney and Assistant County Attorneys in accordance with departmental and County procedures, rules, and guidelines. The person in this position also performs essential data reporting of cases into the Criminal Justice Information System (CJIS).

    Has contact with other departmental employees, crime victims, families of crime victims, witnesses, local law enforcement agencies, defendants, attorneys, merchants, County Clerk’s Office and general public.
ESSENTIAL DUTIES
  • Answers telephone, directs calls, greets the public, and assists County Attorney’s Office by providing appropriate information to the public;
  • Performs essential data entry functions, including reporting cases into CJIS and other office software;
  • Assists with record retention, including the scheduling of destruction of closed casefiles and accompanying attorney notes;
  • Receives and inputs incoming cases into office software;
  • Receives, date‑stamps, and distributes incoming mail;
  • Posts and drops off outgoing mail;
  • Conducts twice‑daily court clerk runs;
  • Enters hot check information into Odyssey system, processes initial collections by mail, and transfers files to paralegal for final collection;
  • Receives and records money orders relating to hot check collections and deposits them with County Treasurer’s Office;
  • Assists with case preparation, as needed, including the duplication and distribution of discovery video and audio recordings;
  • Serves back‑up as the initial victim contact for victims seeking protective orders;
  • Serves back‑up to explain crime victims’ rights and distributes, explains, follows up on, and compiles data for required internal and external reporting of Victim Impact Statements;
  • Maintains law library;
  • Enters information and documents in County software (Odyssey);
  • Attends job‑related ongoing education in person or online;
  • E‑files documents;
  • Accurately and timely relays information;
  • Performs general clerical duties as required, including—but not limited to—filing, scanning, copying, faxing, shredding, data entry, and recording information;
  • Readily complies with departmental and County‑wide policies and procedures;
  • Performs other duties and responsibilities, as assigned;
  • Office hours are 8:00 AM to 5:00 PM, with lunch generally between 12:00 PM to 1:00 PM.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Ability to be pleasant and respectful to others who may be upset;
  • Ability to maintain strict office privacy and confidentiality;
  • Ability to handle stressful situations in a professional manner;
  • Knowledge of correct business English, spelling, punctuation, and basic arithmetic; basic legal terminology, statutes, rules, and regulations relating to responsibilities;
  • Working knowledge of specific job‑related technology and equipment;
  • Ability to work effectively with co‑workers, employees, and management in a pleasant, professional manner;
  • Excellent interpersonal, oral, and written communication skills.
ACCEPTABLE EXPERIENCE AND TRAINING
  • Requires a high school diploma or equivalent;
  • Preferred at least three years’ experience working with the public in a related clerical position, preferably with a governmental or legal entity; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities;
  • Must submit to and pass a background check, pre‑employment physical, and drug screening.
PHYSICAL DEMANDS AND WORK ENVIRONMENT

Regularly required to sit, bend, kneel, walk, stand, reach, and move objects weighing up to 20 lbs. Mainly indoor activity. For compliance with the Americans with Disabilities Act (ADA) and the ADA Amendment Act, this job description does not take into account potential reasonable accommodations.
