FLSA Status / Salary: Exempt/ $25 - 25 hours weekly

Position Summary

The Front Desk Associate serves as the primary point of contact for visitors, callers, staff, deliveries, and routine front-office activity. The role maintains a professional and welcoming reception environment while supporting conference-room readiness, mail and delivery processes, selected Finance administrative functions, and backup check deposits.

Essential Duties and Responsibilities
  • Maintain reliable front desk and reception coverage during assigned business hours.
  • Welcome visitors, clients, vendors, partners, and staff; verify the purpose of visits and notify or direct the appropriate staff member.
  • Answer and route incoming telephone calls and provide general organizational information within established guidelines.
  • Manage incoming and outgoing mail, packages, deliveries, courier activity, and related logs.
  • Coordinate conference-room scheduling, room readiness, basic meeting setup, and routine front-office support.
  • Monitor common-area and reception needs and promptly report facilities, safety, supply, or technology concerns to Operations.
  • Support office supply monitoring, receipt of orders, organization of shared spaces, and other routine office functions.
  • Lead the administrative portion of Finance invoicing and accounts-payable support, including receiving invoices, scanning/uploading documentation, routing invoices for required approvals, maintaining workflow records, and following up on missing administrative documentation.
  • Follow Finance procedures and maintain separation of duties:
    Finance retains accounting coding, approval, payment processing, reconciliation, and financial controls.
  • Serve as backup to the Operations Assistant for check deposits in accordance with IW procedures and internal controls.
  • Provide backup administrative support for selected Operations tasks during periods of high volume or staff absence.
  • Maintain confidentiality and professionalism when handling visitor information, invoices, checks, mail, and internal documents.
  • Perform other front-office and administrative duties as assigned.
Minimum Qualifications
  • High school diploma or GED required.
  • At least one year of reception, office administration, customer service, or related experience preferred.
  • Strong interpersonal and customer-service skills with the ability to interact professionally with visitors, staff, and partners.
  • Excellent reliability, organization, attention to detail, and follow-through.
  • Ability to handle checks, invoices, mail, and confidential information with accuracy and discretion.
  • Comfort using Microsoft Office, email, shared calendars, scanners, and routine office technology.
