Reports To: Executive Leadership
CWCS is seeking a professional and detail-oriented Receptionist / Administrative Support Coordinator to serve as the primary point of contact for staff, clients, partners, and community stakeholders. This position supports daily administrative operations, scheduling, communications, office organization, compliance-related documentation, and executive support functions.
The ideal candidate is highly organized, dependable, and capable of managing multiple responsibilities while maintaining professionalism, confidentiality, and service excellence in a behavioral health environment.
Front Desk & Communication- Answer and route incoming calls professionally
- Take and deliver messages to staff
- Monitor and respond to CWCS general email inboxes
- Send Zoom links and meeting communications
- Assist with internal announcements
- Schedule appointments and reminders
- Maintain calendars for staff, therapists, QPs, and CPSS staff
- Maintain cleanliness of reception and common areas
- Organize and restock kitchen and shared spaces
- Order office supplies, food, and operational materials
- Assist with fire drills, inspections, and safety documentation
- Monitor CWCS website for updates and new materials
- Maintain staff directory and contact lists
- Update records for new hires and departing staff
- Create email access for new hires
- Coordinate staff badges
- Maintain community resource lists
- Assist with marketing materials (business cards, flyers)
- Identify community networking and outreach opportunities
- Prepare and distribute letters to Board Members
- Assist with company status updates for the Board
- Track and manage correspondence
- High school diploma or GED
- Strong organizational and communication skills
- Proficiency with Microsoft Office or Google Workspace
- Ability to maintain confidentiality
- Reliable attendance and professional demeanor
- Administrative or receptionist experience
- Experience in behavioral health, healthcare, or human services
- Familiarity with Zoom and shared calendar systems
- Office-based environment
- Ability to sit, stand, lift light office materials
- Frequent interaction with staff and clients
