Job Summary

The Grants Compliance and HR Specialist is responsible for supporting post-award grant administration, compliance monitoring, and reporting, while also performing key human resources administrative functions. This position ensures that grant-funded programs operate in compliance with applicable regulations, funding requirements, and organizational policies, and that HR processes are accurate, confidential, and well-documented. The role requires strong organizational skills, attention to detail, and the ability to manage sensitive information with professionalism.

Responsibilities

Grant Compliance & Administration (Post-Award)
  • Support post-award administration of federal, state, local, and private grants.
  • Ensure compliance with grant requirements, regulations, and internal policies.
  • Monitor grant budgets, expenditures, and allowable costs in coordination with finance and program staff.
  • Track grant reporting deadlines, award terms, and compliance requirements.
  • Prepare and submit required grant reports, financial documentation, and reimbursement requests.
  • Responsible for the administration and oversight of all insurance coverage, including property, casualty, vehicle, and tail coverage.
  • Maintain Grant tracking programs such as Compliatrics
  • Maintain complete and accurate grant files and supporting documentation for active and closed grants.
  • Plans, conducts, and supports audits and reviews, including FTCA (Federal Tort Claims Act) deeming processes and HRSA site visits.
  • Serve as a liaison between leadership, finance, program staff, and funding agencies regarding grant compliance matters.
  • Draft and manage sub-award agreements, MOUs, and grant modifications as needed.
  • Monitor grant-funded activities to ensure alignment with approved program objectives.
  • Assist with the development and maintenance of grant-related policies and procedures.
  • Monitor, input, review, and maintain required grant data in applicable reporting systems.
  • Collaborates with the grant writer to support grant research, applications, and submissions
  • Serves as a key resource for HIPAA compliance and regulatory guidance
  • Receives, investigates, and responds to non-clinical patient complaints and inquiries
Human Resources Administration
  • Maintain accurate, complete, and confidential personnel files and HR documentation.
  • Ensure integrity and confidentiality of all human resources and credentialing records.
  • Coordinate new hire onboarding and orientation processes.
  • Provide administrative and clerical support to HR leadership.
  • Conduct periodic audits of HR and credentialing files to ensure compliance with laws, regulations, and organizational policies.
  • Maintain training portal – Relias for all employees
  • Maintain credentialing files for providers and clinical staff; track licenses, certifications, and renewals.
  • Serve as backup for credentialing functions as needed.
  • Assist with the development, revision, and implementation of HR-related policies and procedures.
  • Perform other duties as assigned.
Knowledge, Skills, and Abilities
  • Knowledge of post-award grant compliance and reporting requirements.
  • Understanding of human resources administration and recordkeeping practices.
  • Strong organizational, documentation, and time-management skills.
  • Ability to manage multiple deadlines and priorities.
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion when handling confidential information.
  • Proficiency in standard office software and electronic record systems.
Preferred Qualifications
  • Bachelor's degree in Human Resources, Business Administration, Public Administration, Finance, or related field.
  • Experience in grant administration, compliance, or HR operations.
  • Experience in nonprofit, healthcare, or public-sector environments
