We are looking for a highly organized professional who can provide comprehensive administrative support to our finance department and upper management. The ideal candidate will thrive in a fast‑moving environment and demonstrate outstanding multitasking, organization, and communication skills.
OverviewAdministrative Operations Assistant responsibilities include providing fully proficient administrative and secretarial support to one or more managers, coordinating departmental projects, refining correspondence and reports, and ensuring consistency with departmental procedures.
Responsibilities- Provide administrative and secretarial support to managers and professionals.
- Coordinate departmental projects and processes, compiling basic correspondence and reports.
- Assist GM and management with administrative requests, scheduling conference rooms, planning business meals, and small projects.
- Maintain proficiency in clerical tasks, screen phone calls, greet visitors, distribute incoming mail/correspondence.
- Review outgoing material for internal consistency and compliance with procedures, obtain required clearances.
- Determine the appropriate level of authority for handling requests.
- Retrieve information from files or staff for routine inquiries on department programs or reports.
- High school diploma or equivalent.
- Minimum 1 year of experience.
- Knowledge of department equipment such as PC, computer software, calculators.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong verbal and written communication skills in English.
- Good interpersonal and organizational skills.
- Basic math skills: addition, subtraction, multiplication, division.
- Attention to proper punctuation, spelling, and grammar.
- Basic knowledge of company structure and policies/procedures.
- High level of confidentiality and personal information management.
- Professional appearance and demeanor.
Salary: $16.00‑$25.00 per hour, compliant with all state and local minimum wages.
