Description
:
The Administrative Assistant (Intake Department) ensures the timely and accurate processing of new referrals in the firm’s internal case management system, orders titles, and enters data from title exams. The role requires foreclosure experience, particularly in intake and title, and is vital to our firm’s operations. The ideal candidate will be well‑organized, detail‑focused, self‑starter, excellent at time management, and possess strong communication and follow‑up skills.
The position starts in office for a training period and then converts to hybrid.
- Work in a high‑volume environment while maintaining accuracy.
- Proficient use of the firm’s internal case management system to set up new foreclosure files.
- Order and track all title orders, new and updated titles.
- Intake incoming referrals, request documents, update client systems, and enter data necessary to begin processing files.
- Ensure all firm, client, and court‑mandated deadlines are met.
- Appropriately maintain and process sensitive and confidential information.
- Perform other duties and responsibilities as needed.
- Associate or Bachelor’s Degree preferred but not required.
- At least one year of work experience in a law firm environment.
- Knowledge of the complaint process is a plus.
- Strong written and verbal communication skills.
- Experience in a law firm is preferred.
- Proficiency with Excel and other Microsoft products.
- BKFS, Vendorscape, Claifire, and TEMPO experience preferred, but not required.
- Knowledge of the non‑judicial foreclosure process.
- Ability to manage and prioritize multiple projects.
- Overall good attitude and willingness to adapt to change.
- Good organizational skills.
- Identifies and resolves problems in a timely manner.
- Balances team and individual responsibilities.
- Contributes to building a positive team spirit.
- Demonstrates accuracy and thoroughness.
- Looks for ways to improve and promote quality.
- Analytical and problem‑solving skills.
