position overview

this position reports directly to a member of the executive leadership team with dotted line reporting to the other two executive vice presidents this role will support. The executive assistant serves as the primary point of contact for internal and external matters pertaining to these three executive leadership team members. The executive assistant also serves as a liaison to the executive leadership team and functional leaders;

organizes and coordinates executive efforts and oversees special projects. This position performs a full range of administrative support duties of a confidential and challenging nature to three senior executives of the company.

what you’ll do:

  • schedule meetings, coordinate travel arrangements, and maintain appointment calendars on behalf of the executives
  • facilitate and organize workflow, ensuring that all items requiring follow up action are addressed by executive
  • work collaboratively with the executive assistant to the ceo on a variety of team projects / meetings, and provide back‑up ea support for the ceo when needed
  • plan events and meetings in support of the executives
  • produce correspondence and presentations utilizing potentially sensitive or confidential company information
  • produce and facilitate internal communication
  • respond to inquiries from internal and external customers that do not require the executive’s attention while referring any complex or highly sensitive issues to the executive directly
  • communicate with the board of directors and investors in support of the investor relations, finance and legal teams
  • act as the point of contact to schedule investor relations meetings
  • convey executives’ instructions and requirements to others, and exchange information with senior managers on his or her behalf

skills we are seeking
  • minimum 5+ years of experience providing high‑level executive support, including direct support to c‑suite leaders
  • experience supporting finance and/or legal executives strongly preferred; exposure to investor relations is a plus
  • proven ability to manage complex projects independently from concept through completion, exercising sound judgment, confidentiality, and adaptability under pressure
  • advanced proficiency in microsoft office suite (outlook, word, excel, power point), with demonstrated ability to produce professional reports, presentations, and executive materials
  • skilled in meeting, travel, and event planning, with strong attention to logistics and detail
  • exceptional written and verbal communication skills; able to interact with senior leaders, board members, and external partners with professionalism and discretion
  • high school diploma or equivalent required; bachelor’s degree preferred
