Job Description
Under the supervision of the Commandant of Cadets, the Executive Assistant serves as the senior administrative professional and office manager for the Office of the Commandant. The Executive Assistant is responsible for managing the daily administrative operations of the Commandant's Office while ensuring responsive, efficient, and professional support to the Commandant, Deputy Commandants, Commandant's staff, cadets, parents, faculty, staff, and external stakeholders.
This is an exempt, 12-month, full-time position. The annual pay rate for this position is between $44,000.00 and $47,000.00. The job description is available upon request.

Tasks- Manages the daily administrative operations of the Office of the Commandant.
- Supervises the Administrative Assistant and Data Entry Clerk, establishes work priorities, assigns workloads, and ensures continuity of operations through cross-training.
- Develops, implements, and maintains efficient administrative procedures supporting the Office of the Commandant.
- Provides executive administrative support to the Commandant and Deputy Commandants by preparing official correspondence, managing calendars, coordinating meetings, maintaining records, preparing reports, and performing related administrative functions.
- Serves as the principal administrative liaison with cadets, parents, faculty, staff, and external organizations.
- Principles and practices of office administration, records management, information management, and executive administrative support.
- Applicable federal and state laws, Institute policies, administrative procedures, and student privacy requirements (FERPA).
- Budgeting, purchasing, financial recordkeeping, and the use of office technology and administrative software.
- The mission, organization, policies, and operations of New Mexico Military Institute and the Office of the Commandant.
- Planning, organizing, prioritizing, and coordinating multiple assignments while meeting deadlines in a dynamic environment.
- Preparing professional correspondence, reports, presentations, records, and other administrative documents with accuracy and attention to detail.
- Associate’s degree in business administration, Office Administration, Public Administration, or a related field; equivalent combinations of education and progressively responsible administrative experience may be considered.
- Five years of progressively responsible administrative support experience, including experience supporting executive-level leadership.
- Supervisory or lead administrative experience preferred.
- Demonstrated proficiency with Microsoft Office and the ability to learn Institute administrative software.
- Bachelor’s degree.
- Experience in higher education, military, or public-sector administration.
- Experience supervising administrative personnel.
- Experience with student information systems, records management, or database administration.
The New Mexico Military Institute (NMMI) is a state-supported, co-educational institution offering college preparatory education at the high school and junior college levels. With a student body of up to 1,000 cadets, NMMI provides a comprehensive academic experience complemented by Junior and Senior Reserve Officer Training Corps (ROTC) programs. The high school curriculum is fully accredited and prepares students for higher education.
The junior college program facilitates cadet transfer to four-year colleges and universities. Additionally, NMMI houses the Intermediate Preparatory Academy (IPA) for grades 6-8. NMMI-IPA serves local families seeking high academic challenge in a structured environment.
