Job Summary

Patient Access Contact Centre Band 3 Admin/Clerical Assistant – 22.5 hours per week. Permanent part‑time position based in the Contact Centre at Woodside Building, Rotherham.

Main Duties
  • Use a PC to provide an efficient and comprehensive referral management and outpatient booking service.
  • Provide an accurate, efficient and quality booking service for TRFT consultants and specialities, processing appointments in accordance with Trust and Government targets and current practices and procedures.
  • Book appointments onto the Patient Administration System with specific attention to the data items required for commissioning purposes and data quality.
  • Respond to all enquiries and contact with members of the public and staff of all disciplines with tact, sensitivity and confidentiality at all times.
  • Deal with general enquiries and provide information such as figures and waiting time information.
  • Deal with incoming telephone calls and make appropriate appointments.
  • Participate in the modernisation of systems and implement new ways of working, adhering to and changing systems in accordance with new and existing Government and Trust targets, policies and procedures.
  • Regularly review own systems and working practice and put forward proposals for changes to working practice and procedures.
Experience Essential
  • Previous reception/clerical or customer care experience.
Desirable
  • Previous NHS/Healthcare experience.
  • Knowledge of patient administration systems.
Knowledge Essential
  • Confidentiality and an understanding of the Data Protection Act.
Desirable
  • NHS/Healthcare background.
Qualifications Essential
  • Education to GCSE Grade C/4 or above (including English and Mathematics).
Desirable
  • NVQ Level 2 in Customer Service or willingness to work towards it.
  • ECDL/CLAIT or equivalent.
