We at Stag Medical Centre & Rose Court Surgery are looking for an enthusiastic individual to join our reception team. We are looking for someone to work 20 hours per week across both our Rotherham based sites to serve the patients of our busy 12,000 patient practice.
The position is paid at NHS Agenda for Change Band 2 – £25,272 per annum pro rata.
Main duties of the jobThe successful candidate will need to have excellent communication skills, and be able to demonstrate sensitivity, respect, tact and diplomacy in a confidential working environment. Previous experience working within a reception or administrative job role is preferable but not essential for our successful candidate. The current surgery hours are between 7.45am and 6:45pm Monday to Friday. The successful candidate will need to work their contracted hours flexibly across these times.
The successful candidate will be given usual working days and times but can be requested to amend these depending on the needs of department with four weeks notice. Additional hours will be needed occasionally with prior agreement to cover holidays and sickness.

Job responsibilities- Answer the telephone, navigate patients to the appropriate service, make, amend and cancel clinical appointments using the practice computerised appointment system.
- Use the digital request system from patients to direct and respond to requests as per training provided.
- Perform general office duties including filing, photocopying and dealing with general enquiries.
- Record accurate messages, requests for home visits and prescriptions etc for and from all clinicians, ensuring appropriate and timely dissemination and documentation of actions taken.
- Accurate data entry and update patient details (address, phone numbers etc.) when informed of changes.
- Handle and record petty cash received from patients.
- Unlock all areas at the beginning of the day and lock up at the end of each day following the practice security procedures.
- Plan and organise own day‑to‑day work and resolve straightforward job‑related tasks and minor problems.
- Attend meetings as required.
- Ensure appropriate handover arrangements with colleagues at the end of each shift.
- Provide cover for holidays and sickness as a flexible member of the reception team.
- Take part in annual appraisal and Personal Development Review (PDR).
- Participate in ongoing training and personal development as well as mandatory in‑house training events.
- Undertake any other duties determined from time to time and commensurate with the role and grade.
- Issue repeat prescriptions when required (training will be given).
- Perform duties accurately and efficiently, with particular attention to detail.
- Multi‑task and maintain a professional/sensitive approach in a busy office environment.
- Ensure effective lines of communication at all times, both verbally and written.
- Regularly access the practice email system and use it as an effective and preferred means of communication as appropriate.
- Comply with practice security guidelines, health and safety, fire regulations and roll‑call register.
- Uphold patient confidentiality, the General Data Protection Regulations and the relevant practice policies and protocols.
- Education to Secondary School Level.
- Working within a busy environment.
- Previous reception and/or administrative experience.
- Experience of using Systm One Surgery Software.
- Experience of working with the general public.
- Experience of working within NHS.
- Computer literacy and keyboard skills including data input.
- Good communication skills, both written and verbal.
- Prioritisation and organisational skills.
- Ability to work as part of a team and on own initiative.
- Can work to deadlines.
- Maintains a flexible approach to work and the ability to adapt to a changing environment.
- Demonstrate motivation and enthusiasm.
- Reliability.
- Will demonstrate commitment.
