Provide administrative support at Marathon Health centers, responsible for front‑office duties including reception and general departmental support. Duties include answering calls and greeting visitors, assisting with appointments and calendar maintenance, creating professional correspondence, processing mail, maintaining supplies, collecting and reconciling payments, and performing other administrative tasks as required.
Essential Duties & Responsibilities- Answer incoming calls on the general office phone, validate member status, answer emails or other electronic messages, respond as appropriate, and refer questions to medical staff when needed.
- Welcome patients and visitors by greeting them in person or on the telephone.
- Schedule appointments in person or by telephone to optimize patient satisfaction, provider time, and room utilization.
- Keep patient appointments on schedule by notifying the provider of a patient’s arrival and reviewing service delivery compared to the schedule.
- Comfort patients by anticipating anxieties and answering questions.
- Ensure availability of treatment information for the provider by filing and retrieving patient records.
- Maintain patient accounts by obtaining, recording, and updating personal and financial information.
- Collect money for co‑pays, reconcile credit cards and cash, tally the cash drawer, and prepare deposits.
- Complete prior authorization paperwork for insurance, fax communications for referrals, or perform similar administrative duties.
- Maintain the front reception area in a clean and professional manner; restock office equipment and coordinate deliveries.
- Assist Medical Assistants with electronic medical record data entry and scanning/uploading of forms as required.
- Maintain confidentiality of patient records and uphold HIPAA regulations and protocols.
- Perform other duties as assigned or required.
High school diploma or GED required; 1–3 years of related experience in a medical office or equivalent combination of education and experience. Associate degree in healthcare or related field preferred. Proficiency in an electronic medical record system and Microsoft Teams & Office Suite (Word, Excel, Outlook, PowerPoint). Bilingual (Spanish) is strongly preferred.
