SALARY: Circa £45,000 per annum (dependent upon experience) + Benefits

LOCATION: Hybrid working – you will be expected to attend the office in Rugby, Warwickshire, West Midlands on regular occasions

JOB OVERVIEW

We have a fantastic new job opportunity for an Executive Assistant to the CEO supporting senior leadership during a period of transformation, growth and strategic development.

As an Executive Assistant to the CEO you will provide high-level diary management, inbox management, briefing preparation, governance administration and executive office coordination.

The Executive Assistant to the CEO will work closely with trustees, senior leaders, partners, donors and international colleagues, helping to ensure smooth communication, effective decision-making and well‑managed priorities.

This role would suit a proactive, discreet and highly organised professional with excellent communication skills, strong attention to detail and the confidence to manage competing priorities in a fast‑paced environment.

DUTIES
  • Diary and Inbox Management: Proactively manage the CEO’s diary, inbox and correspondence, prioritising requests and protecting time for strategic priorities
  • Briefings and Communications: Prepare briefing notes, talking points, presentations, reports and high‑quality correspondence for meetings and external engagements
  • Executive Office Support: Act as a professional first point of contact for the CEO’s office, handling enquiries with discretion and sound judgement
  • Travel and Logistics: Coordinate complex domestic and international travel, itineraries, visas and logistics for senior leadership
  • Board Administration: Support Board of Trustee meetings and sub‑committees, including scheduling, agendas, papers, minutes and follow‑up actions
  • Governance Coordination: Maintain governance calendars, trustee records, declarations of interest and support Annual General Meeting arrangements
  • Leadership Meetings: Coordinate Global Leadership Team and Senior Leadership Team meetings, papers, actions and follow‑up
  • Stakeholder Support: Assist with engagement involving donors, partners, trustees, government officials, international organisations and peer NGOs
  • Projects and Research: Undertake research, project coordination and special initiatives led from the Executive Office
  • Records and Compliance: Maintain confidential files and records, ensuring GDPR and information governance requirements are followed
CANDIDATE REQUIREMENTS ESSENTIAL
  • Executive Support

    Experience:

    Previous experience as an Executive Assistant or Personal Assistant supporting a Chief Executive or equivalent senior leader
  • Governance Administration: Proven experience of Board, trustee or director‑level administration, including minute‑taking and meeting coordination
  • Communication

    Skills:

    Excellent written and verbal communication skills, with the ability to draft correspondence, briefings and presentations to a senior standard
  • Organisation

    Skills:

    Outstanding attention to detail with the ability to manage competing priorities, deadlines and sensitive tasks
  • Confidentiality: A high degree of discretion, professional judgement and confidence handling confidential information
  • Relationship Building: Strong interpersonal skills and emotional intelligence, with the ability to build credibility with senior stakeholders
  • International Coordination: Experience arranging complex travel and logistics across different time zones
  • Digital

    Skills:

    Confident user of Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams, with the ability to learn new digital and AI tools quickly
