Attendance Specialist
Catalyst Family is seeking an Attendance Specialist to manage child attendance reporting across multiple sites.
Position OverviewThe Attendance Specialist coordinates with Enrollment Specialists, Center Leaders, and other staff to ensure compliance of attendance data to state contracts and company policy. The role includes data entry, audits, and reporting.
Key Responsibilities Attendance Support- Review children's attendance timesheets and transfer attendance data into the database.
- Audit for missing timesheets, schedules, and incorrect information.
- Work with center staff to correct attendance timesheets.
- Create and distribute Best Interest Days/Unexcused Absence Report.
- Audit Category Report to ensure all children are reported correctly.
- Ensure children are reported in the correct contract through audit of the Contract Enrollment Report.
- Provide Recertification Report for Enrollment Specialists and Center Leaders.
- Correct scheduled and attendance data for previous months to ensure reporting accuracy.
- Audit monthly Third Party (CAPP) timesheets for complete documentation and accuracy.
- Provide support in formal internal and external audits as directed by Supervisor.
- Understand funding terms, Title 5 regulations, and attendance reporting requirements.
- Maintain full compliance with governing regulations.
- Accurately enter data into the system.
- Provide excellent customer service to partners at the center and regional levels.
- Collaborate with Enrollment Specialists and Center Leaders to identify opportunities and needs related to attendance and contract compliance.
- High School Diploma or GED.
- 3–4 years of experience in Human Resources or Administrative Assistance.
- AA/AS degree preferred.
- Experience with MS Office, including Excel, Word, or related databases.
- Knowledge of child development and childcare funding eligibility (preferred).
- Experience with MS Office, Excel, Word, or related databases.
- Competent in PC and keyboarding skills.
- Effective time management, planning, organization, and follow‑up skills.
- Team oriented and ability to multi‑task.
- Flexibility and ability to prioritize a shifting workload.
- Flexible hours based on program needs.
- Ability to work in a deadline‑driven environment.
- Ability to maintain confidentiality of family, child, and financial information.
- Independent, self‑starter after training.
- Generally pleasant working conditions.
- Less than 50 % of daily assignments involve prolonged physical effort.
Full Time
ScheduleMonday – Friday, 8 am – 4:30 pm
