To support firm needs, we are seeking a receptionist who will serve as the first point of contact for clients and visitors while supporting the smooth flow of daily office operations in a professional and client‑centered environment.
The Receptionist plays a central role in creating a welcoming and professional environment for clients, visitors, and staff. This position supports the smooth operation of the office by managing front desk functions, facilitating communication, and providing dependable administrative assistance. As the first point of contact, the Receptionist reflects the firm’s commitment to professionalism, confidentiality, and client service in every interaction. This position is not eligible for telecommuting.
Responsibilities- Greet clients, vendors, opposing counsel, court personnel, and other visitors in a professional and courteous manner, ensuring adherence to firm protocols.
- Answer, screen, and forward incoming calls on a multi‑line phone system; take detailed and accurate messages for attorneys and staff; maintain internal phone extension list.
- Support scheduling of client meetings, depositions, conference rooms, and travel arrangements in coordination with attorneys and staff.
- Process outgoing mail, receive, log, and distribute incoming mail, legal documents, courier deliveries, packages, and faxes (including maintaining fax log and sending via email as needed); prepare and send outgoing correspondence, including time‑sensitive filings, mail merges, and gift letters.
- Maintain mail machine and postage requirements.
- Process, scan and file bank statements in client directories.
- Maintain a professional and organized reception, waiting area, and kitchen; purchase and stock coffee, snacks, paper goods, load/run/empty dishwasher and supplies as needed.
- Order office supplies and lunch for meetings; assist with event planning and coordination.
- Provide clerical and administrative support such as photocopying, scanning documents for departments, preparing correspondence, and entering basic data into case management systems.
- Distribute daily absentee report via email and update internal telephone sheet and employee directory.
- Contact building management office regarding office maintenance issues.
- Provide coverage and support for Long Beach Administrative Assistant.
Skills and Qualifications
- Professional client service with exceptional interpersonal skills when interacting with clients, legal professionals, and court representatives.
- Legal communication etiquette, including professional phone and in‑person communication with attention to confidentiality and sensitivity.
- Strong organizational skills to manage competing priorities such as calls, visitors, and administrative requests in a fast‑paced legal environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with law firm phone and case management systems.
- Ability to maintain strict discretion and confidentiality regarding client and case information in compliance with legal ethics.
- Effective time management skills to prioritize tasks during high‑traffic periods or before legal deadlines.
- Problem‑solving mindset to address visitor and caller needs, escalating issues appropriately to attorneys or management.
- High school diploma or equivalent required.
- Minimum of 2 years of experience in reception, front desk operations, or client‑facing administrative support, ideally within a law firm or professional services firm.
