Fast-Paced Restoration & Construction Team

Are you highly organized, comfortable juggling multiple priorities, and good at keeping people, paperwork, and deadlines on track?

SERVPRO Carmichael/Citrus Heights Roseville/E&W Modesto/Manteca is looking for a strong administrative professional with experience in restoration, construction, insurance, property management, or a similar project-driven environment to join our team as a Project Coordinator.

This is more than a traditional administrative position. Our Project Coordinators work directly alongside Project Managers to keep active jobs organized, documented, scheduled, and moving forward.

If you're the person who catches the missing paperwork, follows up before someone has to ask, keeps the schedule straight, and makes sure details don't fall through the cracks, we want to hear from you.

What You'll Do

You'll provide administrative and operational support to our Project Managers while helping coordinate multiple active restoration and construction projects.

Your responsibilities will include:

  • Serve as a key point of contact for customers, Project Managers, field teams, vendors, and internal departments
  • Track project progress and keep job information current and organized
  • Manage administrative details across multiple active projects
  • Schedule appointments, inspections, project activities, crews, and customer communication
  • Review photos, documents, notes, and job files for accuracy and completeness
  • Enter and maintain information in company software and job-management systems
  • Assist with estimates, documentation, insurance requirements, and project files
  • Follow up on outstanding approvals, documents, selections, scheduling, and next steps
  • Maintain accurate digital files and records
  • Communicate professionally with customers by phone, email, and text
  • Identify missing information or potential delays and bring them to the appropriate team member's attention
  • Keep Project Managers informed with clean, accurate, and current job files
  • Help keep projects moving by staying ahead of administrative needs and deadlines
The Experience We're Looking For

We're looking for candidates who bring strong administrative skills plus relevant industry experience or exposure.

Experience with restoration or construction software, estimating programs, CRM systems, job-management platforms, or similar business software is a plus.

Who We're Looking For

The right person for this role is:

  • Dependable and consistently on time
  • Highly organized and detail-oriented
  • Comfortable managing several active projects and priorities at once
  • Able to work quickly without sacrificing accuracy
  • Confident using computers and learning new software
  • Professional and confident communicating with customers, vendors, insurance representatives, and coworkers
  • Comfortable making phone calls and following up until an issue is resolved
  • Able to recognize when something is missing or needs attention
  • Capable of working independently without constant direction
  • Proactive—you look for the next step instead of waiting to be told
  • Accurate with data, documents, schedules, and written communication
  • Able to stay composed when priorities shift
  • Interested in learning, taking on more responsibility, and growing within the company
Qualifications
  • 1+ year of administrative, project coordination, construction, restoration, insurance, property management, or related experience preferred
