Overview

The Clerical/Clinical Medical Assistant will function in both clinical and administrative support roles for Providers, other healthcare professionals and patients. The role requires flexibility, adaptability, and the ability to perform multiple duties across multiple office locations within the same shift.

The Clerical Clinical Medical Assistant will perform primary clinical duties (e.g., completing vital screenings, recording patients' personal information and medical histories) and primary administrative duties (e.g., verifying patient insurance coverage, answering phones, scheduling appointments, and collecting co-payments at the time of visit while maintaining patient confidentiality).

Responsibilities
Clinical
  • Prepares patients for examinations by taking and recording vital signs, updating medical records, and documenting the reason for visit.
  • Assists providers during examinations as needed.
  • Answers phones, processes refills, and performs other administrative duties as required.
  • Performs basic clinical procedures and collects/prepares laboratory specimens.
  • Assists with office referrals and prior authorizations.
  • Maintains accurate patient medical records.
  • Performs pre-charting as needed.
  • Maintains a clean and organized work environment.
  • Adheres to HIPAA regulations and maintains patient confidentiality.
  • Follows infection control protocols and safety guidelines.
  • Administers medications and injections as ordered by the provider per Covenant Health Care policies and procedures and regulatory agencies.
  • Coordinates imaging, labs, EKGs, etc., as ordered by the provider per Covenant Health Care policies and procedures.
  • Sterilizes medical equipment and disposes of contaminated supplies properly.
  • Maintains inventory of medical and/or office supplies within budgetary constraints.
  • Participates in staff meetings, in-service programs and continuing education as necessary.
  • Performs other duties as assigned and/or vary based on medical specialty.
Clerical
  • Verify patient demographics and insurance information.
  • Maintain an accurate schedule for all physicians and APPs.
  • Collect co-payments and other applicable fees; reconcile patient fees (cash, checks) as needed.
  • Answer and direct phone calls promptly and efficiently.
  • Schedule patient appointments and triage calls per Covenant Health Care policy and procedure.
  • Manage incoming and outgoing faxes; assist with administrative tasks such as filing, photocopying, and data entry.
  • Assist with office referrals and prior authorizations.
  • Prepare and maintain accurate patient medical records.
  • Maintain a clean and organized reception area.
  • Maintain inventory of medical and/or office supplies within budgetary constraints.
  • Follow regulations regarding narcotic storage and maintain medical inventory logs; ensure medications are not expired.
  • Participate in staff meetings, in-service programs and continuing education as necessary.
  • Follow infection control protocols and safety guidelines.
  • Adhere to all HIPAA regulations and maintain patient confidentiality.
  • Process/release medical information requests in compliance with HIPAA and other requirements.
  • Performs other duties as assigned and/or vary based on medical specialty.
Qualifications

Education/Experience

High School diploma and/or equivalent required, and

  • a successful completion of a competency-based Medical Assistant (MA) training program required

OR

  • One (1) year experience in clinical (direct patient care) and/or medical (administrative patient support) required

BLS certification required within six (6) months as a new hire or internal transfer.

Knowledge/Skills/Abilities

  • Knowledge of proper 'release of information' standards.
  • Excellent oral communication and interpersonal skills.
  • Excellent organization, time management skills and attention to detail.
  • Proficiency with basic computer and typing skills.
  • Ability to remain calm in stressful situations while demonstrating sensitivity and compassion in all patient interactions.
  • Ability to work independently or as part of a team.
  • Ability to maintain confidential information.
  • Ability to perform: EKG, Tympanometry, TB testing, Waived lab testing, Vision testing, vital signs, AED use, CPR (BCLS), Venipuncture, specimen collections, and patient education.
  • Knowledge of medication side effects and how to communicate to patients.
  • Ability to properly administer medications, including proper dosage, site, and schedule.
Working Conditions/Physical Demands
  • Ability to maintain regular, punctual attendance consistent with ADA, FMLA and other standards.
  • Constant use of senses; near vision.
  • Frequent lifting up to 25 lbs; standing, walking, twisting, reaching, depth perception, and field of vision.
