Northwestern Medical Center is currently recruiting a Patient Access Representative for a regular part‑time position (64 hours bi‑weekly) with varied shifts: 7 am‑3 pm, 3 pm‑11 pm, 11 pm‑7 am. Hiring Range
$17.50 to $24.88 USD

Job Summary

Facilitates the flow of patients and patient information by providing clerical support and data retrieval. Responsibilities include accurate data entry, effective oral and written communication, and critical thinking to support stakeholders throughout the registration process.

Responsibilities
  • Accurately enters registration information for patients.
  • Acquires patient paperwork and test results, including written orders prior to appointment or bed assignment.
  • Captures required patient information and signatures from parent/guardian for minors.
  • Obtains insurance information, completes Medicare questionnaire if applicable.
  • Explains insurance and registration forms requiring signatures to patients.
  • Verifies insurance benefits and requirements by contacting specific insurance companies.
  • Identifies patients owing copay or balance, requests and collects payments politely and privately.
  • Responds to phone calls from patients, families, physicians, payors, lawyers, and other health‑care professionals using problem‑solving and decision‑making skills.
  • Coordinates issues with physicians’ offices or other departments as needed for resolution.
  • Asks appropriate follow‑up questions when information is unclear.
  • Documents daily patient reminder calls for upcoming appointments and procedures.
  • Schedules patients for surgical procedures and assembles necessary charts.
  • Cross‑trained to cover switchboard duties when applicable.
  • Assesses the waiting room for patient flow, requests additional resources, and reports issues to supervisor/shift supervisor.
  • Maintains a clean and orderly waiting area.
  • Manages self and resources effectively.
  • Acknowledges limits of experience and seeks learning resources.
  • Utilizes equipment, systems, and supplies appropriately.
  • Attends at least 50% of monthly staff meetings.
Qualifications
  • High school diploma or equivalent required; associate’s degree preferred.
  • Three years of experience in a medical office preferred.
  • Knowledge of medical terminology and typing skills required.
  • Detail oriented and capable of handling multiple tasks.
  • Ability to understand written and oral scheduling instructions and demonstrate critical decision‑making.
  • Excellent computer skills.
  • Effective communication and customer‑service skills with tactful interaction with all stakeholders.
Other Information

Reports To: Patient Access Manager
Supervises: N/A
Other Contacts: Patients, families, visitors, providers and their staff, business partners and hospital employees

Physical Demands: Manual dexterity and mobility, including lifting, standing or sitting for long periods, and occasional transport of patient in wheelchair.

Working Conditions: Fast paced with multiple phone lines, subject to interruptions. Stressful situations due to phone calls, inquiries and patient payment requests.

Required Protective Equipment: PPE as situation warrants.
