Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
The Office Services Coordinator provides reception, office services, and administrative support to ensure smooth daily operations and excellent client service. Manages multiple tasks in a fast-paced environment with professionalism and attention to detail.
Key Responsibilities- Reception:
Open/close reception, greet visitors, manage phones, schedule conference rooms, validate parking. - Office Services:
Maintain office equipment and supplies, coordinate access cards, disinfect high‑touch areas. - Records:
Organize, catalog, and dispose of records per firm policy. - Conference Rooms:
Reset rooms after meetings, clean surfaces, restock supplies. - Kitchen:
Set up/tear down coffee, restock beverages and supplies, maintain cleanliness. - Mail/Packages:
Sort/distribute incoming mail, process outgoing mail, route checks, manage subscriptions. - Building Maintenance:
Report issues (lighting, HVAC, cleaning) and coordinate with vendors. - Administrative Support:
Prepare folders, stuff envelopes, assist with projects for legal/admin teams.
- High School Diploma/GED required.
- 3‑5 years of relevant experience (legal environment preferred).
- Typing speed: 60+ WPM.
- Ability to lift up to 50 lbs and perform physical office tasks.
- Adaptable, organized, and detail‑oriented.
- Strong communication and proofreading skills.
- Collaborative and client‑focused.
- Proficient in Microsoft Office and office technology.
- Maintains confidentiality and ethical standards.
