Purpose Statement
The job of Accounts Payable Clerk is performed for the purpose of providing financial and administrative support to the Accounting Department. This includes processing approved invoices and contract payments, maintaining accurate records, reconciling data, and assisting other personnel in accordance with established policies and procedures.
Key Responsibilities
- Provide supporting documentation for internal and external audit requests.
- Collect and process financial information such as batch totals, p‑card logs, and bank transactions.
- Maintain accurate financial records and files (e.g., purchase orders, invoices, warrants, shipment verifications, expense reports) to ensure compliance and documentation availability.
- Prepare and distribute written materials and electronic reports (e.g., voucher ratification reports, tax listings, journal entries) in compliance with financial and administrative requirements.
- Investigate and resolve inconsistencies in financial documentation (e.g., purchase orders, vendor statements) to ensure accuracy before processing.
- Respond to inquiries regarding financial procedures, offering information and guidance as needed.
- Attend department meetings, in‑service trainings, and workshops to stay informed and contribute to department initiatives.
- Perform other related duties as assigned to support the efficient operation of the Accounting Department.
Minimum Qualifications
- High school diploma or equivalent (required).
- Additional coursework in accounting or a related field is preferred.
Skills
- Proficient in standard bookkeeping and accounting procedures.
- Able to interpret and apply district, state, and federal regulations.
- Competent in using standard office equipment and accounting software.
- Job‑related experience is required.
Knowledge
- Basic math, including fractions, percentages, and ratios.
- Accounting and bookkeeping principles.
Abilities
- Ability to organize and schedule tasks efficiently.
- Flexibility to work with diverse individuals and detailed data.
- Strong communication, confidentiality, and problem‑solving skills.
- Ability to meet deadlines, prioritize tasks, and maintain accuracy.
