Administrative Assistant – Full Time – Parish Administration, Planning, and Priest Placement Department

The Archdiocese of Milwaukee employs the Mary Mother of the Church Pastoral Center in St. Francis, WI, to manage personnel and material resources for over 200 parishes and 100 Catholic schools across ten counties. The Department of Parish Administration, Planning, and Priest Placement supports pastors and parish leaders in their responsibilities, directs planning initiatives, and handles priest placement on behalf of the archbishop.
As an Administrative Assistant you will support the Vicar, department staff, and clergy, demonstrating integrity, confidentiality, and professionalism.
Major Position Responsibilities- Track information about parishes, planning initiatives, and clergy demographics.
- Generate written resources and communications for the department.
- Schedule and participate in meetings on planning, parish human resources issues, and priest placements.
- Serve as a key resource to clergy and parish leaders who contact the office.
- Support the work of the Vicar and other department staff as needed.
- Support Priest Placement processes.
- Coordinate office mailings, e‑mail broadcasts, maintenance of mailing lists, and process printing requests.
- Help prepare and track the department budget.
- Assess and generate reports from the Mission Insight database and other Archdiocese of Milwaukee databases.
- Attend Building Commission meetings and record minutes.
- Collect and track proxy materials from the Chancery Office.
- Full proficiency in Excel and Microsoft Office Suite.
- Ability to use electronic databases, scheduling tools, financial transactions, and virtual meetings.
- Effective and pleasant communication skills, including active listening and the ability to relate to a variety of people professionally.
- Knowledge of the structure, functions, and protocols related to parishes within the Archdiocese of Milwaukee.
- Excellent grammar and composition skills.
- High School diploma or equivalent required.
- Prior office experience in an administrative position for 3‑5 years at an advanced level preferred.
- Practicing Catholic in good standing required.
- Excellent interpersonal skills required.
- Background working or volunteering in a parish background preferred.
- The employee works in a normal office environment.
- Attendance for weekends, early mornings, and evening work required.
- Some lifting up to 30 pounds, bending, and twisting required.
- A valid driver’s license is required due to occasional travel within the Archdiocese of Milwaukee.
This is a full‑time, 40‑hour‑a‑week position working in‑person at the Archdiocese of Milwaukee Pastoral Center. The Archdiocese offers a full scope of employment benefits, including medical, dental, vision, and flextime. Catholic school tuition assistance for employees’ children, 403(b), and a pension program are provided. Infrequent weekend and evening meetings and some travel to parishes throughout the archdiocese are required. Mileage reimbursement is available.
Location:
