Overview

Scott Gann Construction is a growing, fast-paced construction and property management company seeking a full-time Office Manager to keep our operations running smoothly. This role is critical to both the construction, excavation and rental sides of our business and requires someone who thrives on variety, takes initiative, and can juggle multiple high-priority tasks each day.

We’re looking for a detail-oriented, self-motivated individual who is experienced in bookkeeping and office management, with a strong understanding of property management workflows. You’ll work closely with leadership to ensure our office operations, financial records, and rentals are in tip-top shape.

Key Responsibilities
  • Weekly in-house payroll processing
  • Prepare Certified Payroll Reports, Union Reporting and state/federal payroll tax filings
  • Reconcile bank accounts and cash balances
  • Manage Accounts Payable and track job cost entries
  • Assist with monthly contract job billing and time & materials tracking
  • Generate reports using Sage 300 CRE and Excel
  • Complete and file compliance reports for other regulatory items (e.g., heavy highway use, business licensing, etc.)
Property Management
  • Manage tenant leasing process: marketing units, screening applicants, preparing leases
  • Collect rent and enforce lease terms
  • Coordinate and schedule maintenance and repairs
  • Maintain tenant records and communications
  • Ensure all rental-related administrative tasks are completed in a timely manner
General Office Duties
  • Oversee day-to-day office operations
  • Answer and direct incoming calls
  • Handle filing, copying, scanning, and mail sorting
  • Update safety program documentation as needed
Qualifications
  • Prior experience in office management, construction bookkeeping, or property management
  • Proficiency in Microsoft Excel, Outlook, and Word
  • Experience with accounting software (Sage 300 CRE preferred)
  • Excellent communication and organizational skills
  • Able to prioritize, meet deadlines, and work independently
  • Comfortable wearing many hats in a small business environment
