We are seeking a highly organized and detail-oriented Administrative Assistant with experience in bookkeeping!
As an Administrative Assistant, you will play a crucial role in supporting the daily operations of our organization. The ideal candidate will have a background as an office manager and possess strong bookkeeping skills, preferably with experience using Quick Books
. A college degree is preferred, and experience in accounting would be a significant advantage.
- Bookkeeping:
Utilize your expertise in bookkeeping to manage financial records, including accounts payable and receivable, invoicing, and expense tracking. Ensure accuracy and compliance with relevant financial regulations. - Quick Books Management:
Proficiently navigate and utilize Quick Books software to process financial transactions, generate reports, reconcile accounts, and maintain financial data integrity. - Administrative Support:
Provide comprehensive administrative support to the team, including managing calendars, scheduling appointments, coordinating meetings, making travel arrangements, and handling correspondence. - Office Management:
Utilize your background as an office manager to ensure the smooth day-to-day functioning of the office, including maintaining office supplies, coordinating maintenance and repairs, and overseeing general administrative tasks. - Data Organization:
Efficiently organize and maintain electronic and physical files, ensuring easy retrieval and confidentiality of sensitive information. - Communication and
Collaboration:
Facilitate effective communication within the organization by responding to inquiries, distributing information, and liaising with internal and external stakeholders. - Event Coordination:
Assist in the planning and execution of meetings, conferences, and events by coordinating logistics, managing registrations, and providing on-site support as needed. - Project Assistance:
Support various projects by conducting research, compiling data, creating reports, and assisting with project management tasks as assigned.
- Bookkeeping
Experience:
Proven experience in bookkeeping, with a strong understanding of financial processes and regulations. Experience with Quick Books is required. - Office Management Background:
Previous experience as an office manager, demonstrating the ability to handle administrative tasks efficiently and independently. - College Degree: A college degree in a relevant field is preferred, although equivalent work experience may be considered.
- Highly Organized:
Exceptional organizational skills with the ability to multitask, prioritize assignments, and meet deadlines in a fast‑paced environment. - Attention to Detail:
Meticulous attention to detail to ensure accuracy in financial records, administrative tasks, and correspondence. - Communication
Skills:
Excellent written and verbal communication skills. Ability to interact professionally with individuals at all levels of the organization. - Computer Proficiency:
Advanced proficiency in MS Office Suite, particularly Excel and Word. Experience with other productivity tools and software would be beneficial. - Problem‑Solving Abilities:
Strong problem‑solving skills to address challenges proactively and independently. - Confidentiality:
Ability to handle sensitive information with discretion and maintain a high level of confidentiality.
