Responsibilities

  • Work 40 hours per week, primarily between 8:00 AM and 5:00 PM with some flexibility.
  • Greet and check‑in patients upon arrival.
  • Answer all incoming calls and voicemails, ensuring voicemails are returned the same business day.
  • Assist patients with registration and paperwork.
  • Schedule and cancel appointments for existing patients.
  • Handle patient information in accordance with HIPAA and privacy guidelines.
  • Answer questions and address complaints.
  • Monitor and respond to emails the same business day.
  • Assist with medical record retention.
  • Receive, sort, and distribute letters, packages, etc.
  • Keep the front desk and workspace organized and presentable.
  • Prepare outgoing mail by drafting correspondence and securing parcels.

Qualifications

  • Proven experience as a front desk representative, agent, or relevant position.
  • Experience in customer service or medical/behavioral health strongly preferred.
  • Familiarity with office machines (fax, printer, scanner).
  • Knowledge of office management and basic bookkeeping.
  • Proficient in English, oral and written.
  • Proficient knowledge of MS Office, especially Outlook, Excel, and Word.
  • Ability to learn additional technologies such as the Electronic Medical Record for scheduling.
  • Strong communication, people skills, organizational, multi‑tasking, problem‑solving skills.
  • Customer service orientation and positive team participation.
  • High school diploma; additional qualifications are a plus.
