What We Do

Simply put, we help save lives - and we're proud to say we've been nationally recognized for how well we do it. We conduct and fund game-changing research. The Position

The Administrative Assistant II provides administrative support for assigned departments to ensure efficiency in areas of document management, meeting support and coordination, calendar management and travel coordination. Assist with front desk operations as assigned to represent our brand and culture.

What You'll Do
  • Departmental Administrative Support
  • Coordinates and maintains calendars and appointments for assigned leaders
  • Coordinates various meetings, conference calls and events
  • Provides administrative assistance to assigned leaders with problem solving, project planning and execution of goals and objectives
  • Maintains departmental meeting minutes
  • Organizes out of town travel, hotel and meeting arrangements
  • Undertakes research and information gathering activities to provide leaders with data as requested
  • Completes word processing, PowerPoint, excel spreadsheets, database, expense reports and special assignments as needed
  • Attends and participates in organizationally and departmentally required meetings
Organizational Support
  • Coordinates assigned cross-departmental projects or committees to ensure standard process compliance and effective flow of communication and information
  • Optimizes stakeholder satisfaction by ensuring accurate and timely communication
  • Serves as a liaison with other departments in the resolution of day-to-day administrative issues
  • Utilizes and updates appropriate databases
  • Answers, evaluates and routes incoming calls in a timely and professional manner to ensure both external and internal stakeholder satisfaction
  • {May at times} support the organization as front desk point of contact
What You'll Bring
  • High school diploma required;
    Associate's/Bachelors degree in Business Administration or related field a plus
  • Superb grammar and written communication skills
  • 2 Years' experience supporting management level preferred
  • Extensive software skills including Microsoft Office applications and the ability to learn new software
  • Outstanding communication and customer service skills (written and verbal)
  • Time management and Project management skill set
