Director of Operations at One Tech Engineering
One Tech is seeking a detail-oriented Payroll & Accounting Coordinator to oversee payroll for field contractors and manage accounts receivable functions. This role plays a critical part in ensuring accurate payroll processing, timely invoicing, and clean financial records. The ideal candidate is highly organized, comfortable working independently, and experienced with Quick Books in a fast-paced, deadline-driven environment.
Key Responsibilities- Process bi‑weekly payroll for field contractors across multiple projects
- Ensure accurate timecard review, approvals, and compliance with client billing terms
- Maintain contractor pay rates, deductions, reimbursements, and adjustments
- Coordinate payroll-related questions with contractors and internal team members
- Ensure compliance with federal, state, and client‑specific payroll requirements
- Generate and distribute client invoices in accordance with contract terms
- Track payments, apply receipts, and reconcile accounts
- Follow up on outstanding invoices and support collections as needed
- Maintain accurate AR aging reports
- Manage day‑to‑day accounting functions within Quick Books
- Reconcile bank and credit card accounts
- Enter and maintain accurate financial records
- Assist with month‑end close and financial reporting
- Support audits and provide documentation when needed
- Maintain organized digital records and documentation
- Collaborate with recruiting and operations teams to ensure payroll accuracy
- Identify process improvements to increase efficiency and accuracy
- Assist leadership with ad‑hoc financial reporting and analysis
- 3‑5+ years of experience in payroll, accounting, or bookkeeping
- Strong working knowledge of Quick Books (Online or Desktop)
- Experience processing payroll for hourly workers or contractors
- Solid understanding of accounts receivable processes
- High attention to detail and accuracy
- Strong organizational and time‑management skills
- Experience in staffing, recruiting, or construction/field‑based industries
- Familiarity with multi‑state payroll
- Experience working in a small or growing company environment
