Accounts Payable Specialist

Description

We are looking for an Accounts Payable Specialist to join a growing organization in Vadnais Heights, Minnesota on a contract basis with the potential for a permanent position. This opportunity is ideal for someone who thrives in a fast-moving environment, can manage invoice processing from initial review through payment, and brings strong judgment when resolving discrepancies. The role supports a high-volume workflow tied to carrier and driver invoicing, with added complexity from recent business growth and newly added entities.

You will play a key part in improving processing timelines, maintaining accurate vendor records, and helping the accounting team stay on track during close.

Responsibilities:

- Oversee the full accounts payable cycle for a large volume of driver and carrier invoices, from receipt and verification through final payment.

- Examine billing documents for accuracy, confirm supporting details in internal systems, and ensure charges align with completed deliveries before payment is released.

- Create and maintain vendor profiles, identify when a supplier is new, and collect required tax and onboarding documentation such as W-9 forms.

- Research invoice discrepancies, payment questions, and missing information by coordinating with dispatch, operations, and other internal partners.

- Verify that invoices receive the appropriate approvals, coding, and documentation prior to entry into the accounting system.

- Help reduce outstanding invoice backlogs and improve turnaround times to support a more efficient month-end close process.

- Contribute to accounts payable activities related to newly added business entities and assist with adapting records within cloud-based financial systems.

- Support payment processing activities, including ACH transactions and check runs, while maintaining accuracy and compliance with internal controls.

Requirements - Demonstrated experience in accounts payable, ideally within a high-volume processing environment.

- Ability to manage invoice review, account coding, and payment workflows with strong attention to detail.

- Experience handling vendor onboarding, documentation tracking, and invoice issue resolution independently.

- Strong critical thinking skills with the ability to investigate discrepancies and make sound decisions based on supporting information.

- Comfort working with cloud-based accounting platforms;
Net Suite experience is preferred, though similar systems are also valuable.

- Proficiency with ACH payments, check runs, and general accounts payable procedures.

- Background in transportation, logistics, freight forwarding, or a related operational setting is a plus.

- Ability to work effectively in a hybrid setting and respond well to changing priorities during peak seasonal periods.
