Job Overview

Fairview is looking for a Staffing Advisor at our Fairview Midway Corporate Campus in St Paul. The main goal of this role is to help daily staffing needs by finding coverage for call‑offs or short‑staffing using staffing grids in compliance with hospital policies, department budget, and staffing plan. This requires a high attention to detail and a fast‑paced energy.

About This Position

Hours: 48 hours (0.6 FTE) every two weeks and benefit eligible.
Schedule: Day/Evening shifts – 8‑hour shifts, with three start times (4 am, 7 am, or 3 pm).
Weekend Rotation: Every other weekend.
Location: Onsite at Fairview Midway Campus, 1700 University Avenue, Saint Paul, MN.

Responsibilities
  • Produce and maintain 4‑week employee schedules as set by policy, union contract, and department guidelines.
  • Approve and process time‑off requests, shift exchanges, and holiday schedules while ensuring accurate data entry in the scheduling system.
  • Review staffing levels continuously and communicate staffing needs to employees, proactively filling vacant shifts.
  • Review scheduled staff with Charge Nurses, Administrative Nursing Supervisors, and/or Nursing Managers on a shift‑by‑shift basis to ensure skill level matches patient care needs.
  • Provide timely customer service to staff contacting the staffing office via phone, email, in‑person visits, or other messaging.
  • Review, update, and approve employees’ timekeeping records (E‑time) in Kronos and the scheduling system per policy.
  • Track and report departmental data including attendance records, employee data, and skill level information on all supported personnel.
  • Actively participate in crafting and implementing improvements that result in improved processes, procedures, and practices, and participate in department and system quality improvement projects as assigned.

Required Qualifications
  • High level of communication and problem‑solving skills.
  • Proficiency with PC, network applications, and staffing software applications.
  • Strong organizational skills.
  • Ability to work independently and multi‑task while providing excellent customer service to all levels of staff, outside agencies, and contracts.
Preferred Qualifications
  • Customer service experience.
  • Bachelor’s degree.
  • One to three years of staffing experience in an acute health‑care hospital setting.
