Job Responsibilities- Promote a professional, welcoming atmosphere that enhances service and care quality. Lead by example, maintain office presence, and uphold professionalism.
- Dress and present appropriately at all times; business casual attire required. Maintain professional body language and communication. Minimize cell phone usage at the front desk.
- Accurately complete daily checklists.
- Assist with scheduling, cancellations, and confirmations.
- Protect patient information in compliance with HIPAA laws; maintain confidentiality of all sensitive information.
- Create new medical records, obtain insurance cards, referrals, and demographic info.
- Complete Daily Activity Reports and handle financial duties like entering charges and payments.
- Handle cash accurately, scan receipts, verify collections, and deposit cash securely.
- Answer calls promptly, confirm appointments, and make outbound retention calls.
- Maintain a tidy work area, keep sensitive info out of view, and shred documents as needed.
- Keep the waiting area clean and organized.
- Monitor emails and handle time-sensitive communications promptly.
- Assist with office supply inventory and notify management of needs.
- Have thorough knowledge of all procedures performed at the office.
- Report complaints or issues to the General Manager.
- Perform other duties as assigned.
- Experience with EMR software and patient scheduling preferred.
- Proficient in Microsoft Word, Excel, and Outlook.
- Strong communication, interpersonal, and organizational skills.
- Excellent patient relations and customer service skills.
- Professional, reliable, and dedicated.
- Prior experience in dermatology or medical environment preferred.
- Open availability during scheduled hours.
- Knowledge of HIPAA & OSHA compliance.
Occasional travel within a reasonable distance may be required for training or coverage needs.
Work Environment- Performing duties requires talking, hearing, standing, walking, using hands to finger, handle, or feel, and reaching with hands and arms.
