About the Role

ARA is seeking a highly organised and client-focused Migration Administration Officer to join our Migration Services Team. This role provides essential administrative support to ARA’s registered Migration Agents and Migration Lawyers, helping clients access accurate, realistic and compassionate support with visa, residency and citizenship matters.

The successful candidate will be the first point of contact for many migration services enquiries and will play an important role in client intake, documentation, appointments, records, invoicing and service coordination. This position would suit someone with strong attention to detail, excellent customer service skills and the ability to work respectfully with people from diverse cultural and linguistic backgrounds. Proficiency in a language commonly spoken by people seeking to enter Australia on a humanitarian visa is highly desirable.

Key Responsibilities
  • Provide a professional and welcoming response to migration services enquiries in person, by phone and by email.
  • Support client registration and intake, including data entry, documentation collection, invoicing and payment receipting.
  • Liaise with clients to obtain additional information and supporting documents for applications.
  • Provide administrative and interpretingsupport to Migration Agents and Migration Lawyers, including appointment scheduling, record keeping and report preparation.
  • Respond to requests for additional information from the Department as directed by Migration Agents or Migration Lawyers.
  • Coordinate bookings, venues and materials for migration information sessions and seminars.
  • Work collaboratively with internal teams and external stakeholders to support smooth service delivery.
  • Maintain accurate records and provide regular updates to your line manager on service delivery and any significant issues.

We are seeking 2 candidates to fill this role
(1 x Spanish speaking @ 2 days per week; 1 x Arabic speaking @ 2 days per week) on a permanent part-time basis. The role is classified at SCHADS Award Level 2.

You will bring strong administrative skills, sound judgement and a respectful, client-centred approach. You will be comfortable working in a busy environment, handling confidential information, managing competing priorities and communicating clearly with clients, colleagues and service providers.
