Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m.
Reports to: Business Manager

Summary: The Assistant Bookkeeper is responsible for maintaining Parish financial records, ensuring effective and efficient administration of bookkeeping, accounting, and Human Resources functions.

Essential Duties And Responsibilities
  • Supports the administrative office functions.
  • Provides bookkeeping, payroll and benefits processing services.
  • Prepares, reviews, and submits bi-weekly and monthly payroll in a timely and accurate manner.
  • Provides Pastor with appropriate time report registers for review and approval.
  • Ensures employee records are always current and accurate in HRIS system.
  • Coordinates with Human Resources on deployment and implementation of HR policy and/or process changes, as appropriate.
  • Assists Pastor in the administration of Archdiocesan Hiring Policies which include recruiting, hiring, onboarding and new employee orientation.
  • Reconciles employee benefits to monthly invoices and ensures completed correctly and in a timely manner.
  • Assists Bookkeeper and Business Manager in preparation of budget.
  • Generates thank you letters for major donations for Pastor’s signature.
  • Reviews requisitions and Purchase Orders, reconciles as necessary, and coordinates with Bookkeeper for timely payment.
  • Researches the accuracy of invoice amounts for any discrepancies and implements corrective measures, communicating with vendors or others as needed to reconcile all issues.
  • Recommends policies, procedures and/or actions for the purpose of improving efficiency, and provides direction to meet/exceed the accounting objectives of the Parish and the Archdiocese of San Antonio.
  • Prepares collection/deposit bags for weekend and other Mass collections; retrieves bags, sorts them and readies for money‑counting process.
  • Inputs and maintains records of weekend contributions.
  • Assists in banking and other financial transaction activities as required.
  • Maintains confidentiality in all situations.
  • Demonstrates professionalism in conduct, demeanor, and work habits.
  • Maintains a work schedule that maximizes availability for Pastor, Business Manager and staff.
  • Other duties as assigned.
Qualifications and Requirements
  • High School Diploma, or equivalent, required.
  • Successful bookkeeping or accounting experience, generally a minimum of two years.
  • Ability to gain competence with Parish

    SOFT Accounting software.
  • Experience with Human Resources programs, policies and procedures, a plus.
  • Supports and adheres to the religious standards, policies and procedures of the Archdiocese of San Antonio.
  • Maintains confidentiality regarding sensitive matters.
  • Must demonstrate ability of serving collaboratively with other members of the parish staff. Must be willing to communicate and coordinate with members of the parish community with whom one may interact.
  • Strong organizational skills, and the ability to meet parish goals and deadlines.
  • Strong interpersonal skills and the ability to communicate to various levels of office staff, ministry leaders, and parishioners.
  • Ability to work in a team environment.
  • Meet all Archdiocesan employment requirements.
  • Provide proof of valid driver’s license and insurance.
Preferred Qualifications
  • Associate or Bachelor’s Degree in accounting or related field, with coursework in accounting, bookkeeping and record keeping, preferred.
  • Advanced-level skills in Microsoft Word, Excel, & Outlook
  • Bilingual (English/Spanish)
Physical Demands / Work Environment

While performing the duties of this job, the employee must have the ability to sit and type on a computer keyboard for a continuous period of time. The employee should have the ability to occasionally lift and reach overhead boxes and other containers.
