Role OverviewThe Accounting Firm Administrator is a robust position responsible for overseeing the firm’s administrative, operational, and internal support functions. Reporting to firm leadership, this position requires strong organizational acumen, financial and accounting knowledge, and the ability to manage people, processes, and systems in a fast-growing professional services environment. The Administrator will ensure operational efficiency, support accounting professionals, and contribute to a productive and well-managed workplace.
Key Responsibilities- Oversee and manage day-to-day administrative and office operations for a growing accounting firm
- Serve as primary point of contact for office management, including facilities, supplies inventory, maintenance, vendors, service providers, and landlord relationships
- Manage operational schedules, appointments, and firm calendars to ensure efficient workflow and coordination
- Provide leadership and administrative support to accounting staff, including mentoring, training coordination, and fostering a culture of continuous improvement
- Manage company’s social media profiles, posts, and updates
- Handle payroll processing, payroll reporting, and related financial support functions with accuracy and confidentiality
- Maintain organized and accurate office records, ensuring compliance with firm policies and confidentiality standards
- Manage and update Quick Books, oversee office budgeting, track expenses, and prepare internal financial and operational reports as needed
- Apply working knowledge of accounting principles and practices, including experience supporting accounting processes and financial statement preparation
- Coordinate IT support services to ensure office equipment, software, and systems operate efficiently
- Lead employee onboarding and orientation processes to ensure smooth integration of new hires
- Support leadership with administrative initiatives, process improvements, and operational reporting
- Prior experience in office administration, firm administration, or operations within an accounting or professional services firm preferred
- Demonstrated experience in vendor management and procurement processes
- Strong accounting knowledge, including familiarity with accounting systems and financial reporting
- Proficiency in Microsoft Office
- Proficiency in Quick Books; required
- High level of computer and IT proficiency, with the ability to self‑start, troubleshoot, and adapt to new systems
- Strong leadership, organizational, and communication skills
- Ability to manage multiple priorities in a fast‑paced, growth‑oriented environment
- Professional demeanor with a high degree of discretion and attention to detail
- CCH Tax Software experience – preferred
