The role is primarily within the Information Management Department, reporting to the Director of Information Management.

The Administrative Assistant II (AI2) performs administrative and office support duties, establishes and maintains department records, coordinates projects, and assists with Information Technology (IT) related activities. The position requires proficiency in Microsoft Office Suite, effective communication skills, and the ability to work independently.

Responsibilities
  • Use standard office software to produce and maintain documents, correspondence, spreadsheets and databases.
  • Manage shared information resources (hardware and software) used by the hospital.
  • Facilitate new‑hire orientation by reviewing and processing onboarding documents and setting up access to automation software.
  • Assist with desktop/laptop setups, transfers, and peripheral support.
  • Coordinate user access requests (LAN, EMR, Client Record System) and monitor trouble tickets with the IT department.
  • Maintain technical files, records, and databases according to Texas State Records Retention Schedule.
  • Perform general office duties: filing, answering and routing phone calls, routing mail, ordering and maintaining office supplies.
  • Assist employees, students, and volunteers with LAN access requests and help troubleshoot user issues.
  • Participate in disaster response, recovery, or Continuity of Operations (COOP) activations as needed.
  • Attend work on a regular basis; may be required to work specific shift schedules, rotating shifts, overtime, or extended hours.
Essential Job Functions (EJFs)
  • Attends work regularly and may work a specific shift schedule, rotating schedule, extended shift, and/or overtime in accordance with agency leave policy.
  • Facilitates new‑hire orientation by reviewing all onboarding documents for accuracy.
  • Manages the administrative functions and services for the Information Management department.
  • Maintains periodic review (audit) of user LAN access.
  • Provides group and individual user assistance on an as‑needed basis to resolve user problems.
  • Provides desktop support for staff using computer software, assists in registering users in the EMR system.
  • Provides essential information on Client Record System (CWS User roles) and LAN accounts.
  • Assigns IDs, passwords and helps reset passwords for the facility’s EMR system.
  • Assists with the management of shared Information Resources (hardware and software) used by the hospital.
  • Assists with management and inventory of facility‑issued cellular devices.
  • Assists users with submitting and tracking trouble ticket requests for new computer data lines and activations.
  • Monitors user trouble tickets and coordinates completion with the IT department.
  • Assists employees, students, and volunteers with LAN access requests and account changes.
  • Maintains technical files, records, and databases according to Texas State Records Retention Schedule.
  • Assists in inventory management of the facility depot for laptops/desktops and computer peripherals.
  • Performs general office duties such as filing, answering, and routing phone calls, routing mail, and ordering and maintaining office supplies.
  • Performs related work as assigned.
  • Other duties as assigned, including active participation in disaster response or COOP activation, which may require alternate shift patterns or location adjustments.
Knowledge, Skills, and Abilities (KSAs)
  • Knowledge of office practices and administrative procedures.
  • Skill in personal computers and software applications in a Windows environment (Word, Excel, PowerPoint, Access, Outlook).
  • Ability to maintain filing systems.
