JOB DESCRIPTION

The Manager, Gift Services provides leadership, oversight, and expertise for the gift processing and receipting function and Gift Services data activities for Institutional Advancement. Responsible for overseeing the Gift Services team, coordinating and facilitating gift recording, cash handling, gift receipting, and related gift processing duties.

RESPONSIBILITIES
  • Manages and oversees the gift processing program, in accordance with federal, state, system and institutional regulations, policies and procedures.
  • Develops, maintains, and implements policies and procedures; ensuring accuracy and standardization of gift processing, receipting, and reconciliation.
  • Supervises Gift Services staff: recruits, hires, trains, counsels and evaluates staff. Determines and communicates work assignments. Enforces a system of internal safeguards and controls to ensure fiscal responsibility and accountability and to ensure gift data is complete and accurate.
  • Completes monthly and annual reconciliation of gift data with our Budget and Financial Planning Office, continually working toward more efficient methods of financial data transparency between offices.
  • Responsible for maintaining departmental gifts received log to ensure accurate auditing practices.
  • Along with the data analytics team, develops and produces routine and custom gift reports, dashboards, and notifications for key internal stakeholders; leads the annual Voluntary Survey of Education report and the UT System Institutional Development Plan.
  • Creates and maintains general gift related forms and corresponding internal and external guides; provides expertise and guidance for best practices regarding forms and language used in solicitations.
  • Manages regular correspondence to donors regarding payments and payment processes, in coordination with our front facing staff, where applicable. Provides backup to key functions of Gift Services Specialists.
  • Manages transfers and adjustments to gifts, as necessary. Manages and recommends tools and vendors for payment processing. Performs other duties as assigned.
QUALIFICATIONS
  • Project Management:
    Effective project management, planning and organizational skills, and ability to multi-task in a rapidly changing environment.
  • Technology:
    Excellent knowledge of Constituent Management Databases (CRMs) and Microsoft Office (Word, Excel, Outlook, etc.); is quick to adapt to new relevant software or programs.
  • Communication:
    Superior interpersonal, communication and presentation skills and ability to effectively exchange information with stakeholders.
  • Leadership:
    Ability to direct and contribute to initiatives and processes within the organization while creating a collaborative and respectful team environment and improving workflows.
  • Fundraising:
    Experience with non-profits or higher education and knowledge of gift administration or accounting associated with the institution.
REQUIRED SKILLS
  • • Bachelor's degree required, Accounting, Business, or related field preferred.
  • • Three to five years of gift processing, fundraising, gift administration, and/or accounting experience required.
