Business Administration, Office Administrator/ Coordinator
The Bid Coordinator is responsible for coordinating bids and maintaining contracts with various agencies, schools, and military. Researching products, negotiating, and soliciting fixed bid pricing, capturing, and maintaining bid contracts. Manage awarded bids and communicate with procurement for on time performance and guarantee timely distribution at correct bid.
ResponsibilitiesEssential Duties and Responsibilities Bid and Contract Administration
- Coordinate bid process from solicitation through implementation.
- Maintain bid files, contract records, pricing documentation, and databases.
- Track renewals, amendments, and customer requirements.
- Maintain pricing templates and contract pricing records.
- Prepare recurring reports and spreadsheets supporting bid activity.
- Verify pricing accuracy within systems.
- Respond to customer and manufacturer inquiries.
- Assist with issue resolution regarding pricing and contract administration.
- Support vendor sample billing and related activities.
- Partner with purchasing and supply chain teams to support awarded business.
- Provide backup support for National Accounts and related functions.
Required:
High School Diploma or GED.
Preferred:
Associate Degree in Business Administration, Supply Chain, Finance, Marketing, or related field.
Equivalent experience may be substituted.
Work Experience Requirements- 2-3 years of administrative, sales support, contract administration, purchasing, customer service, or related experience.
- Experience supporting bids, pricing, proposals, or contracts preferred. Food service industry experience preferred.

- Intermediate Microsoft Excel, Word, Outlook and Teams skills.

Minimal travel required. Estimated travel up to 5% for meetings, training, or business support activities.
