Customer Service and Scheduling VA - HVAC

Help Squad is a remote company serving homeowners and service accounts in residential heating and air conditioning. This role owns handling customer calls, scheduling appointments, and follow-ups to ensure a smooth customer experience for the client’s service operations.

• Answer inbound calls and messages, verifying customer and job information in the system
• Schedule, confirm, reschedule, and cancel service appointments considering technician availability
• Maintain accurate records in Housecall Pro and other tools
• Follow up on open requests and elevate issues as needed
• Communicate with the office team to manage scheduling conflicts and customer needs
• Handle cancellations, refunds, and other issues within approved guidelines

• Excellent spoken English and clear verbal communication
• Professional, friendly phone manner and strong customer service experience
• Experience with call handling, scheduling, or similar support roles
• Strong organizational skills and attention to detail
• Ability to manage high volume of communication and keep open requests organized
• Comfort with using computer systems to document interactions and follow procedures
