Job Summary

The Scheduling Specialist serves as the initial point of contact for inbound patient calls to schedule office and/or surgical appointments. The role is responsible for authorizations, insurance verification, and appointment setting.

Duties / Responsibilities
  • Screen patient calls efficiently ensuring accurate registration, appointment scheduling and follow‑up appointment scheduling into database.
  • Verify patient status (current or former) and reschedule with initial treating physician; route caller to the treating physician team to initiate transfer of care when requested.
  • Transfer caller to the Billing Department for patients with an account balance prior to scheduling future appointments.
  • Accurately data‑enter patient demographic information including name, address, contact information, and insurance details.
  • Respond to patients’ questions and needs by editing, canceling and re‑scheduling appointments as necessary according to company protocols.
  • Regularly check Outlook, Athena, Notify

    MD and fax for pending messages and follow up on action items within the same business day.
  • Perform patient reminder calls for future appointment dates and document accordingly.
  • Document call summary in the Athena/EMR system.
Position Requirements
  • Education
    :
    High School Diploma or equivalent.
  • Experience
    : 1–2 years of progressive work experience in a medical setting; knowledge of medical terminology and health insurance; familiarity with Athena EMR system is a plus.
  • Skills
    :
    Effective interpersonal and communication skills; excellent telephone etiquette and customer service; proficient and accurate data entry;
    Spanish speaking/Bilingual is a plus.
  • Abilities
    :
    Ability to multitask (e.g., enter data while conducting customer calls); develop working relationships with internal and external customers.
  • Other
    :
    Perform other duties as assigned by the supervisor.
Physical Demands / Working Conditions

Requires prolonged sitting and computer use; eye‑hand coordination and manual dexterity to operate keyboard, photocopier, telephone, and other equipment; normal range of hearing and eyesight; fast‑paced work environment.
