Administrative Assistant – Economic Development Corporation (EDC)
General Responsibilities: The Administrative Assistant provides high‑level administrative and clerical support to the Executive Director and EDC staff. The position assists with daily operations, project coordination, document preparation, meeting logistics, recordkeeping, and communication with businesses, vendors, and community partners. The Administrative Assistant serves as a professional representative of the EDC, maintaining confidentiality and ensuring efficient and organized office operations.
Duties include:
- Maintain regular and prompt attendance; physically present to work.
- Perform after work hours as required (nights and weekends).
- Provide administrative support to the Executive Director and EDC staff, including scheduling, correspondence, and filing.
- Prepare and distribute meeting agendas, minutes, and supporting materials for EDC Board meetings and related committees.
- Maintain organized records of contracts, invoices, and financial documents in compliance with EDC policies.
- Assist in coordinating EDC projects, programs, and community or business outreach activities.
- Support marketing and communication efforts, including social media updates, newsletters, and promotional materials.
- Serve as a point of contact for public inquiries related to EDC programs and business development opportunities.
- Coordinate travel arrangements, conference registrations, and reimbursements for EDC staff and Board members.
- Track and process purchase orders, invoices, and payments in coordination with Finance department.
- Maintain confidentiality of sensitive information and ensure all correspondence and records are handled professionally.
- Perform other duties as assigned by the Director of EDC.
Knowledge / Skills / Abilities:
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast‑paced environment.
- Knowledge of general office procedures and record‑keeping practices.
- Ability to maintain confidentiality and exercise good judgment.
- Professional demeanor and ability to interact effectively with business leaders, community members, and elected officials.
Essential Experience, Education, License,
Certifications:
- High School diploma or GED required.
- Bilingual in Spanish highly preferred.
Working Conditions:
- Work is performed primarily in an office environment.
- May occasionally require attendance at meetings or events outside regular working hours.
- Moderate physical activity such as lifting files, standing, or walking short distances.
