Responsibilities

A Day in the Life of a Service Coordinator:

  • Schedule and conduct home inspections related to the move‑in/move‑out process, including pre‑move‑in/move‑out and final inspections.
  • Assist with ordering and scheduling vendor services.
  • Maintain and monitor make‑ready boards to ensure timely completion of work.
  • Collaborate with maintenance to correctly assign, schedule, and finalize service requests.
  • Provide residents with any charges associated with move‑out/final inspection outcomes.
  • Create purchase orders for all vendor maintenance services and products (e.g., paint, flooring).
  • Generate work orders for make‑readies and other maintenance service requests.
  • Assist with closing work orders/tickets once work is completed.
  • Schedule and monitor water intrusion; communicate to residents, follow up, and issue 3‑day notices.
  • Follow up with residents after services are rendered.
  • Promote positive resident relations by promptly responding to concerns and requests.
  • Address and follow up on customer service concerns from Satisfied survey.
  • Maintain systems and logs (Keytrak, pest control, vendor/product logs, etc.).
  • Perform administrative tasks, email communication, data entry into systems (Payscan, Yardi, and others).
  • Distribute correspondence/notices (3‑day notices, move‑out charges, water intrusion, etc.).
  • Participate in property walks/inspections of grounds, common areas, parking lots, community rooms, make‑readies, quality control to maintain site standards.
  • Operate a company or personal vehicle to travel to various locations for work purposes.
Qualifications
  • 1‑2 years of experience in residential property management or customer service (preferred).
  • Prior work with vendors or ordering services (appliances, plumbing, electrical) preferred.
  • Proficiency with personal computer skills, keyboarding, internet, email, math, Microsoft Office (Word, Excel) and related software (Yardi, Payscan).
  • Excellent communication and interpersonal skills for interacting with customers, vendors, management, and co‑workers.
  • Strong service orientation and ability to work in a fast‑paced environment, multitask, prioritize, and meet operational objectives.
  • Positive, professional demeanor in all interactions.
  • Valid driver’s license and ability to operate a company or personal vehicle or electrical cart.
  • Availability for a flexible schedule, including weekends, off‑hours, and emergencies.
  • Knowledge of OSHA laws and regulations.
  • Willingness to travel to other regional locations for work, training, meetings.
  • Must comply with company policies, rules, and procedures, including the Employee Handbook.
