Description
The Secretary II provides administrative, clerical, and office support services to ensure efficient daily operations within the FPS R9 San Diego District Office. This role supports staff, management, and visitors by performing a variety of administrative tasks, maintaining office organization, and assisting with documentation, scheduling, correspondence, and general workflow.
This position requires excellent attention to detail, strong communication abilities, and the ability to manage multiple tasks in a professional office environment.
Key Responsibilities- Provide general administrative and clerical support, including filing, data entry, copying, scanning, and mail distribution.
- Prepare, format, and edit correspondence, reports, and other documents with accuracy.
- Answer and route phone calls; greet and assist visitors in a professional manner.
- Maintain calendars, schedule meetings, and coordinate conference room reservations as needed.
- Organize, maintain, and update physical and electronic records and filing systems.
- Assist in tracking office supplies and submit replenishment requests as needed.
- Support office staff with administrative tasks, document processing, and information requests.
- Ensure all sensitive or confidential information is handled in accordance with office policies.
- Perform other duties as assigned to support daily office operations.
- High school diploma or equivalent.
- At least one (1) year of administrative, office, or clerical experience.
- Two (2) years of administrative or secretarial experience in a professional office environment.
- Experience supporting federal, government, or law enforcement environments (preferred but not required).
- Proficiency with office software such as Microsoft Word, Excel, Outlook, and PDF tools.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Able to manage multiple tasks with attention to accuracy and deadlines.
- Professional demeanor and customer-service orientation.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Comfortable working independently and as part of a team.
