OCCUPATIONAL SUMMARY
The Executive Assistant and Board Liaison provides high-level administrative and project support to San Diego Volunteer Lawyer Program’s CEO. In addition, the position is the primary administrative liaison to the SDVLP Board of Directors and its committees (Executive, Governance, Finance, Audit, and Development). The Executive Assistant and Board Liaison also performs a wide range of administrative and general office duties to ensure timely and accurate completion of projects that enhance the efficiency and effectiveness of San Diego Volunteer Lawyer Program in achieving its mission.

Established in 1983, San Diego Volunteer Lawyer Program, Inc. is the oldest and most comprehensive pro bono legal services program in San Diego County. SDVLP’s mission is to provide equal access to the justice system by serving as a bridge between indigent and other disadvantaged people in San Diego County and the volunteer lawyers who are willing to donate their time and resources.

ESSENTIAL
JOB DUTIES:
Supporting the Chief Executive Officer
- Proactively support the CEO with administrative duties; coordinate and maintain the CEO’s calendar; plan, implement, and arrange travel.
- Coordinate, organize and assist with correspondence.
- Assist CEO with special projects, helping prioritize initiatives and move projects from concept to execution.
- Maintain CEO and organizational files, including minutes for Board Meetings and various committee Meetings.
- Maintain the CEO’s contact and email distribution lists.
Board Liaison
- Schedule and provide logistical support for meetings of the Board of Directors and its committees. Generate agendas and other materials for meetings of the Board of Directors and its committees.
- Maintain Board distribution lists and contact information, send out and track annual Conflict of Interest Forms and Board contributions, track and update other Board information.
- Maintain communications with the Board of Directors.
- Assist in preparation of Board Meeting and committee meeting invitations, schedule meetings, prepare agendas, presentations, and other materials, track attendance, and record minutes.
- Provide logistical support for additional meetings as necessary.
- Additional Logistical and Administrative Support
- Create and maintain an organization-wide calendar.
- Provide support to San Diego Volunteer Lawyer Program employees as needed.
- Assist in preparation for San Diego Volunteer Lawyer Program events as needed.
- Assist with staff meetings as needed.
- Facilitate donor relationships and perform other duties as needed.
Work Environment:
This position is onsite at SDVLP’s main office in downtown San Diego, 20 hours per week. The Executive Assistant and Board Liaison must be available to attend evening board meetings (5x per year) and other occasional evening and weekend events as needed.
Wage Range & Benefits:
- The pay is $40 per hour.
- 7 days paid annual leave (increases to 9 days after 2 years), 8 days paid sick leave.

Minimum Qualifications
- Four or more years of experience in an administrative role reporting directly to upper management.
- Previous Board Liaison experience, and two years of providing administrative and operational support at the senior executive level, including booking travel and maintaining calendars.
- Excellent technical skills, including minute-taking, and excellent computer software skills, including Word, Outlook, and PowerPoint.
- Excellent written communication, with polished professional writing, and the ability to carefully proofread and craft organizational documents.
