Location:

San Diego, CA 92121.

Salary: $65,000 - $98,000 per year. Overtime eligible.

Job Description

Our client, an AmLaw 50 firm, is hiring a Litigation Administrative Assistant to provide complex and specialized secretarial and administrative support to attorneys and other timekeepers.

Responsibilities
  • Complete all document processing and correspondence assignments accurately within timekeepers’ stated time frames.
  • Manage, organize, and maintain all documents and pleadings in iManage and a shared M drive.
  • Maintain attorney/paralegal calendar, schedule meetings, and input court deadlines.
  • Communicate with docket department for litigation deadlines.
  • Draft pleadings and discovery documents (e.g., master caption, shell notice, shell declaration, shell proposed order, proof of service).
  • Arrange court filings and service of documents, electronic filing according to state, federal, and local rules.
  • Coordinate with vendors for service of process and provide courtesy/chambers copies.
  • Handle attorney admissions to various courts.
  • Coordinate court reporters and videographers for depositions and hearings.
  • Assist with deposition exhibits preparation and service of subpoenas.
  • Conduct basic legal research.
  • Assist with Docu Sign documents.
  • Handle all incoming calls and manage outgoing calls professionally.
  • Maintain good client relationships for attorneys.
  • Assist other team timekeepers as needed.
  • Prepare new business forms, conflict sheets, engagement and waiver letters.
  • Process invoices, expense reports, travel reimbursements, etc., per accounting guidelines.
  • Request conference rooms for client meetings and depositions.
  • Copy documents not suitable for the Copy Center.
  • Make travel arrangements per firm’s Travel Policy.
  • Review, distribute, and process prebills.
  • Coordinate internal procedures and compile backup for audit letter responses.
  • Perform any other duties as assigned.
Skills and Experience
  • Proficiency in iManage, Litera, Docu Sign, Intapp.
  • Availability for overtime as required.
  • Proficiency in Microsoft Office Suite.
  • Knowledge of court rules and legal terminology.
  • Previous litigation secretarial experience.
  • Preferred:
    Proficiency in Salesforce, Liquid Files, Egencia.
