Position Overview

We are seeking a temporary Scheduling & Operations Coordinator to support the San Diego region’s general property division while covering a leave of absence. This role is crucial to our operational efficiency and profitability, managing, coordinating, and optimizing service scheduling across the region.

Key Responsibilities
  • Strategically schedule jobs based on geographic efficiency and technician skills to maximize productivity and minimize travel time.
  • Maintain and manage work orders in scheduling systems, ensuring accuracy and timeliness.
  • Facilitate communication between field technicians, subcontractors, and internal teams.
  • Support procurement, reporting, and auditing processes related to work orders and project documentation.
  • Assist project management with work order accuracy, cost tracking, and documentation.
  • Review electronic time sheets and balance job costs with worked hours.
  • Update the accounting department on the completion of work orders.
  • Maintain organized records of scheduling changes, cost codes, and operational documentation.
  • Prepare and submit scheduling and operations reports as required.
Requirements
  • Minimum of 3 years of recent experience in a maintenance or construction‑related industry.
  • Strong understanding of scheduling, operations, and construction/maintenance workflows.
  • Familiarity with San Diego geography or ability and willingness to learn the region quickly.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication skills with subcontractors, field personnel, and internal teams.
  • Proven ability to manage multiple tasks and priorities in a fast‑paced environment.
  • Proficient with MS Office Suite, Zoho, Sage, and Crystal Reports.
Preferred
  • Experience with work order management systems.
  • Basic understanding of project costing and administrative reporting.
