Applications will be screened, and those candidates whose backgrounds best match the requirements of the position will be invited to participate in a competitive examination process, which may include any combination of the following:
Training & Experience evaluation (T&E), multiple-choice question test, job-related performance exercise, and technical/ oral appraisal interview. Examination procedures are subject to change as deemed necessary by the Director of the Personnel Commission.
Candidates who pass all of the examination processes are ranked on an eligibility list according to their score(s). Selection for the position will be made from among the top three (3) ranks of candidates. The eligibility list will be used for hiring purposes in other vacancies in the same, or equivalent, job classification and will be active for six (6) months (Merit Rule 50.100.1).
BASIC FUNCTION:Under the direction of an assigned Director or Executive Director, perform complex secretarial and administrative assistant duties to relieve the administrator of secretarial and administrative detail; plan, coordinate and organize office activities and flow of communications; assure smooth and efficient office operations.
DISTINGUISHING CHARACTERISTICS:Administrative Assistant II incumbents serve as a primary secretary to a Director of a major District-wide function with extensive budgetary impact and broad responsibilities for District-wide departmental and program administration. Incumbents may provide work direction and guidance to other clerical staff. The Administrative Assistant I classification typically provides primary secretarial support to an Assistant Director of a major District-wide function or a Director of a small department or program with a limited budgetary impact.
REPRESENTATIVE DUTIES:- Perform complex secretarial and administrative assistance duties to relieve the administrator of administrative detail; plan, coordinate and organize office activities and flow of communications; maintain confidentiality of privileged and sensitive information. E
- Research and compile a variety of information; compute statistical information for various federal, State and District reports; process and evaluate a variety of forms related to assigned functions. E
- Maintain department budgets and assure that accounts are accurate and expenditures are within federal or State requirements; collect and account for fees; initiate purchase requisitions and budget transfers. E
- Receive visitors, including administrators, staff, parents and the public; provide detailed and technical information concerning policies and procedures where judgment, knowledge and interpretation of procedures and regulations are required or direct to appropriate personnel. E
- Assure timely communications between assigned office and District employees; resolve issues as appropriate; refer difficult situations to the administrator. E
- Compose, independently or from note or rough draft, a variety of materials including inter-office communications, applications, requisitions, forms, letters, contracts, special projects, legal documents and other materials; establish and maintain a variety of office files. E
- Receive, screen and route telephone calls; take and relay messages as appropriate; serve as a resource to others concerning policies and procedures. E
- Coordinate, schedule and attend a variety of meetings; prepare and send out notices of meetings; maintain appointment calendars; reserve facilities; collect and compile information for meetings, projects and workshops. E
- Prepare agenda items and back-up materials for a variety of meetings; prepare charts and statistical information as needed; attend meetings and take and transcribe minutes. E
- Maintain a variety of complex personnel records, lists, files and records including confidential materials; administer payroll for department including completion and submission of time sheets. E
