Group Reservations Coordinator
Help our hotel group reservations run smoothly by staying on top of rates, processing group bookings, and ensuring exceptional guest service. You’ll play a key role in managing onsite and off‑site group operations and coordinating with multiple departments.
Responsibilities- Stay abreast of current rates, rate changes, promotions, facilities, services, and hours of operation.
- Prepare for each group’s arrival by compiling histories, billing information, deposits, filing, VIP details, and correspondence; interact with booking contacts carbide.
- Input and accurately record group rooms and revenue into the property management system and double‑check routing for all reservations.
- Send no‑show, pickup, and all requested reports for citywide groups, including post‑event audit reports.
- Promote teamwork and quality service through daily communication and coordination with other departments.
- Cover lunch shifts for front desk agents when needed.
- Assist during peak arrival/departureь periods.
- Respond to guest concerns or complaints and communicate any outstanding requests or issues to management.
- Assign rooms to all reservations each day.
- Upgrade members based on Elite IHG Rewards status.
- Balance inventory and send out pre‑arrival upgrade notifications.
- Coordinate the distribution of welcome letters, bags, room drops, and other client‑requested items.
- Maintain an accurate filing system for groups and trace each group block.
- Create sub‑blocks for citywide groups with multiple groups visiting for conventions.
Create and update group block notes to provide relevant data for all reservations and coordinate with other departments as needed. - Provide and maintain reports and records of all groups during stay and after departure, and follow up on inquiries.
- Make reservations for pre‑planning visits, site tours, influencers, VIPs, etc.
- 灰 Coordinate all site rooms with housekeeping scream front office and the rest of the team.
- Attend pre‑meeting planning meetings or TY conferences as requested.
- Run daily reports such as cancellations, bookings, or arrivals.
- Manage all Passkey functions, including rooming list uploading, monitoring room‑block pickup and inventory, uploading payment information.
- High school diploma or equivalent and one year of experience as a reservationist, front desk agent, or related field, or an equivalent combination of education and experience.
- Fluent English speaking and listening; other languages preferred.
- Proficient at typing reservation information.
- Strong communication skills used extensively when interacting with clients, guests, and employees.
- High reading and writing aptitude when reviewing and processing reservations or daily reports.
- Basic mathematical ability used occasionally.
- Proficient computer skills.
- Flexibility to work nights, weekends, and/or holidays if required.
The hourly pay range for this role is $22 to $28. We offer a comprehensive benefits package, including paid time off, medical/dental/vision insurance, 401(k), and many other benefits for eligible employees.
