Accounts Payable Specialist

Description

We are looking for an Accounts Payable Specialist to join a growing accounting team on a Long-term Contract basis. This position will play a key role in keeping payables operations running smoothly while also contributing to broader accounting support during a busy period. The ideal candidate brings hands-on experience with invoice processing, expense management, and workflow coordination, along with the ability to work effectively in a fast-moving environment.

Responsibilities:

- Oversee daily accounts payable activities, including invoice entry, payment processing, employee expense reimbursements, and corporate card transactions.

- Monitor the shared AP mailbox and provide timely, thorough responses to vendors and internal stakeholders regarding payment status and documentation.

- Administer electronic invoice approval workflows to keep submissions moving efficiently through review and authorization stages.

- Track approval queues across multiple entities or locations and follow up on outstanding items to avoid delays in processing.

- Review biweekly timesheets for completeness and accuracy before payroll is finalized.

- Prepare and support monthly balance sheet reconciliations and help resolve discrepancies as they arise.

- Contribute to month-end close tasks and assist with general accounting responsibilities to support the broader finance team.

- Maintain organized vendor files and payment records to ensure accurate documentation and audit readiness.

- Recommend practical improvements to accounts payable procedures and workflow efficiency where opportunities are identified.

* Requirements

- At least 3 years of experience in accounts payable along with exposure to general accounting functions.

- Solid knowledge of end-to-end AP operations, including invoice coding, ACH payments, check runs, and expense processing.

- Experience working with AP automation tools and digital approval routing systems.

- Familiarity with payroll support activities such as reviewing employee timesheets or timecards.

- Understanding of account reconciliations and month-end close processes.

- Proficiency with Sage Intacct is strongly preferred.

- Strong organizational skills, close attention to detail, and the ability to manage multiple deadlines independently.

- Background in accounting, business, or finance, with experience in multi-entity environments considered an advantage.
